We are looking for a Principal Patent Specialist for our EU team

The assignment is temporary and lasts for 3 months.

About the role

The role involves performing ongoing paralegal and administrative tasks related to patent matters and docketing. You will be responsible for correctly handling patent-related communications, updating cases in our IP management systems, and ensuring that all deliveries maintain high quality and adhere to set deadlines.

The position requires accuracy, a basic understanding of patent processes, and the ability to work according to established routines. More complex issues will be handled in consultation with senior colleagues or team leaders.

You will thrive in the role if you enjoy working with:

Process Management

  • Performing docketing and paralegal tasks for assigned patent cases.
  • Updating daily volume records and docketing logs.
  • Following up on open customer inquiries together with the team leader.
  • Collaborating with global teams for workflow coordination and problem-solving.

Quality Control

  • Conducting initial quality checks according to internal guidelines.
  • Recording and following up on quality deviations.
  • Identifying recurring error patterns and contributing to improvement efforts.

Customer Management

  • Organizing and managing customer inquiries in close collaboration with the team leader.
  • Preparing responses to customer emails for internal review.
  • Ensuring deliveries within agreed deadlines.
  • Participating in customer meetings as needed.

Training & Development

  • Participating in customer-specific training for new and existing employees.
  • Contributing to refresher training and sharing best practices.
  • Assisting in updating instructions and internal procedures (SOPs).

Documentation & Reporting

  • Producing daily or weekly docketing reports according to customer instructions.
  • Updating system information based on customer feedback.
  • Maintaining accurate statistics on incoming cases.

Qualifications - how to succeed in the role:

  • Experience in legal support or paralegal work, preferably within patent prosecution.
  • Practical experience in patent docketing, paralegal management, and quality control.
  • Good understanding of patent processes, timelines, and formalities in multiple jurisdictions.
  • Excellent organizational skills and high accuracy.
  • Very good Swedish and English in both spoken and written form.
  • Experience with IP management systems, e.g., Anaqua, is a plus.
