At the Probation Service Malmö, we are about 200 employees working in the FLOW building in Hyllie, just a few minutes' walk from Hyllie station and the Emporia shopping center.

JOB DESCRIPTION

As an administrator, you will be part of a team of nine employees primarily responsible for common administrative tasks such as client and operational administration in the form of registration and dispatch of client documents. You will also work with mail handling, government emails, archiving, and diaries, writing minutes, establishing sentences, and administration in connection with the district court's supervisory board. The administrative responsibilities also include some office services, receiving goods, orders, bookings, and office supplies for staff.

Through your work in administration, you will represent the Swedish Prison and Probation Service with a trustworthy and correct approach towards clients, colleagues, partners, and the public. The tasks require you to ensure that confidentiality is maintained while being knowledgeable about the principle of public access.

QUALIFICATIONS

We believe that you have an interest, willingness, and ability to help others for the operation to run smoothly. You are accommodating in your approach and service-oriented since the work as an administrator is a service function for all employees at the workplace. You have the ability to plan, organize, and prioritize work effectively so that important tasks and legal security are maintained. You are meticulous and well aware of goals and quality standards. We also see that you have good communication skills and experience working in a team where you collectively take responsibility for the whole while driving your own processes forward. You are also flexible and can easily adapt to changing circumstances, find solutions in arising situations, and handle stressful situations well. We are looking for someone with good IT skills and administrative proficiency.

We are looking for someone who has:

• High school diploma or equivalent, preferably with an administrative or economic focus, or other education combined with relevant experience deemed equivalent by the Swedish Prison and Probation Service
• Several years of experience in administrative work
• Good IT skills
• Good knowledge of the Swedish language in both spoken and written form

It is a merit if you have:

• Knowledge of administrative law
• Experience in governmental work
• Experience in archiving and diary keeping
• Further education in administration or another area deemed equivalent by the employer
• Experience in administrative work from public administration
• Good knowledge of Excel
• Experience in administrative work in KVR
