Archive Coordinator for the Social Administration

As an archive coordinator, you will be responsible for coordinating and developing the social administration's work with information management. You will ensure that information and documents are handled securely, efficiently, and structured throughout their lifecycle – from creation to archiving. The role involves leading processes for disposal, archiving, and confidentiality assessments, as well as acting as the system manager for certain operational systems. You will work as a link between the operations and the municipal archive to streamline and secure the transfer of information. You will work closely with both internal and external partners to create clear routines and solutions that meet legal requirements and the needs of the operations. The role is governed by laws and regulations such as the Public Access to Information and Secrecy Act (OSL), the Archives Act, the Social Services Act (SoL), and the Patient Data Act, as well as the municipality's own governing documents. The target group is the administration's operations and employees handling documentation and cases.

The work is largely performed independently based on applicable regulations and includes tasks of a coordinating, administrative, analytical, and developmental nature.

The position is part of the quality and development unit, which is a staff function within the social administration. The unit also employs investigators, SAS, MAS, MAR, e-developers, e-administrators, development leaders, controllers, and staffing managers. You will work in close dialogue with the management group of the administration.

RESPONSIBILITIES

  • Manager of the social administration's handling of information and documents throughout the information's entire lifecycle from creation to archiving.
  • System manager for previous operational systems for documentation.
  • Process leader for disposal and archiving within the social administration.
  • Coordinator of both the strategic and practical work with disposal and archives.
  • Establish routines and governing documents for information management within the social administration.
  • Process leader for confidentiality assessments and the release of public documents within the social administration.

QUALIFICATIONS

You need to have very good knowledge of the legislation governing the social administration's operations or alternatively very good knowledge of archiving. It is advantageous if you have previous experience working in the systems Treserva, Combine, and Evolution. It is also advantageous if you have previous experience in digital archiving. You need to be able to express yourself well in both spoken and written Swedish. As a person, you need to be structured, analytical, and self-driven. You need to have good problem-solving skills and be able to handle complex processes in a stable manner. You should have good pedagogical skills. Great emphasis is placed on personal suitability.

Mandatory Requirements:

  • University or college education in social work or archival science.
  • Experience in public authority operations or experience in archiving and information management within social services.
  • Experience working in digital systems.
  • Good ability to express yourself well in both spoken and written Swedish.

Desirable:

  • Experience in archiving.
  • Experience working in a politically governed organization.
