Registrar at the Swedish Council for Higher Education

Do you want to work in an organization that creates opportunities for education, development, and exchanges both nationally and internationally, and be part of developing document management and information governance at the Swedish Council for Higher Education?

As a registrar, you will belong to the department for operational support, which is responsible for strategic management support to the Director General and also support to the operations in areas such as finance, law, archives, registration, communication, and HR. The registration and archives are part of the authority's legal unit. We primarily work with digital information and have an e-archive.

Your Responsibilities

  • Receive and register incoming digital, and to some extent physical, mail in our case management systems,
  • Ensure that documentation is handled correctly and classified according to applicable procedures,
  • Expedition of certain documents,
  • Weekly produce lists of incoming referrals and cases,
  • Inform, introduce, and advise employees on document management,
  • Update information on the intranet.

You are also expected to contribute to quality assurance and development of our information management processes in collaboration with other roles in the unit, and serve as one of several super users in the operational system Ciceron.

Other tasks may also occur.

Within registration and archives, we have close cooperation and help each other where needed.

The Role

The role involves a lot of contact with both employees and external actors, and you therefore need to be interested in understanding the entire authority's mission in order to direct questions to the right person. We believe that you, as an applicant, have a genuine interest in providing professional service. Additionally, you need to:

  • Have good collaboration skills,
  • Be able to take responsibility and work independently based on given routines and instructions,
  • Be structured,
  • Be proactive, and
  • Be meticulous.

Who You Are

You have:

  • Registrar training or equivalent, as assessed by the employer as comparable,
  • Several years of experience working as a registrar,
  • Experience working in document and case management systems,
  • Interest in system administration and ability to learn IT systems of various kinds,
  • Good knowledge of the Office suite,
  • Knowledge of the principle of public access,
  • Experience in communicating with the public and high communicative ability,
  • Very good written and oral ability to express yourself in Swedish, and
  • Good knowledge of English.

It is advantageous if you have:

  • Archive knowledge,
  • Experience in system administration,
  • Experience in internal training, and
  • Experience in driving the development of work processes.
