About the job
We are looking for someone who wants to contribute with their skills and commitment within HR administration and who enjoys working broadly with all administrative tasks within the HR area.
The role involves a lot of contact with different parts of the organization and requires good communication skills, a sense of service, and high integrity.
The HR unit is constantly working to develop and simplify our processes, and in your role, there are good opportunities to contribute. Work is ongoing to replace our current payroll system, and you will play an important role in the future work by contributing your expertise in the administrative parts of HR and payroll processes. Payroll management is outsourced to the State Service Center, and in your role, you will be the contact person for them and handle administration related to payroll and employment. As the contact person for SSC, some quality assurance and follow-up of the payroll service may also be included.
Main tasks:
- Be responsible for personnel and recruitment administration, e.g., establish employment and other administrative decisions, publish recruitment ads, and register documents.
- Maintain good order in the authority's personnel records.
- Handle and distribute incoming inquiries via a functional mailbox.
- Manage the release of public documents and produce simpler personnel statistics related to this.
- Be the contact person for the payroll function at the State Service Center.
- Be responsible for digital forms within the personnel area.
- Be the unit editor for the authority's intranet.
- Keep the agenda together and write minutes in MBL forums.
- Support the unit's managers and colleagues with booking conference facilities, ordering refreshments, etc.
- Contribute your expertise in the work of implementing a new payroll system.
- Other administrative tasks within personnel administration within the HR unit's areas of responsibility.
The unit
The HR unit is a qualified management support with a strategic and operational mission. The HR unit belongs to the department for authority governance and support and consists of a total of about 20 employees distributed across two groups. You will organizationally belong to the group of Operational HR where the unit's HR partners are included along with HR analysts and HR administrators.
Your profile
We are looking for you who are a skilled administrator with a good ability to work independently and can organize and plan your work. You appreciate repetitive tasks but are also flexible for unexpected assignments with short notice.
You have a high level of service and thrive when the pace is high. You can independently drive your work forward while being collaborative, having a consultative approach, and being skilled at building good relationships with both colleagues and representatives of the organization and partners while maintaining integrity. You have a high digital maturity and experience working and administering in various system supports. With a good ability to see the whole and understand how different parts are connected, you can identify relationships and create effective solutions.
To succeed in the role, it is important that you are meticulous, responsible, and have an easy time creating structure and order in your work. You are solution-oriented, unpretentious, and understand the importance of meeting deadlines.
We are looking for you who have
- High school diploma.
- Current experience in administrative work within the HR field in the public sector.
- Experience and competence in writing minutes at MBL or collaboration meetings.
- Experience working with digital HR systems, such as payroll systems and recruitment systems.
- Very good knowledge of the Office package.
- Experience in handling the release of public documents.
- Good knowledge of Swedish, both spoken and written.
It is meritorious if you have
- University education in human resources.
- Experience implementing HR and/or payroll systems.
- Experience working with various technical solutions to streamline routines and workflows, e.g., AI and RPA.
- Experience in administrative work within the HR field at a government authority.

Good to know
The position is a permanent employment and we apply a 6-month probationary period.
The place of employment is Stockholm.
The employment may be placed in a security class.

We have about 25 million digital customer contacts per year. We are about 1700 employees at eight locations, from Luleå in the north to Halmstad in the south.
