About the role
As Office Manager, you are the driving force in executing and realizing concepts and the office strategy for our 12 offices and over 1,300 employees. You ensure that our offices operate optimally, both as workplaces and as expressions of the Lyko culture. The span between strategy and operational execution is vast. You make sure that everyday life runs smoothly – from technology and supplier contacts to inspiring environments for employees and visitors. The role is operational and hands-on (yes, sometimes it means making coffee or running an errand), but you will also be responsible for driving improvements, tracking costs, and developing processes for all our offices.
The role is based at the headquarters in Stockholm, where you lead the daily work, distribute tasks, inspire, and ensure structure and prioritization. You will have an Office Coordinator in Stockholm to assist you in the daily operational work. The role has no formal personnel responsibility, but you will lead and drive the office strategy on a daily basis.
Your responsibilities:
- 🔧 Office service & operations: Ensure that the office and shared functions operate optimally. Manage purchases, supplier contacts, and cost tracking.
- 🤝 Collaboration & communication: Be the hub of the daily office experience with many internal contact points, property owners, and external suppliers.
- 🎉 Event planning: Here, your creativity can shine as you bring the Lyko culture to life by creating, planning, and coordinating internal events – from breakfasts and after-work gatherings to grand seasonal events.
- 🌍 Global guidelines: Ensure that Lyko's office concept is adhered to and reflects our values in all 12 offices, and act as support during changes and the establishment of new offices.
- ✅ Work environment: Participate in safety rounds as needed and ensure that the office environment is safe and functional.
Who you are
To succeed in this role, we believe you have previous experience in office operations and are used to handling both supplier contacts and cost tracking. Planning and executing internal events is something you enjoy, and you work systematically with administration, contracts, and purchases. With a solution-oriented mindset and a natural ability to build relationships, you create great experiences for both employees and visitors. You communicate confidently and service-oriented in both Swedish and English.
You likely have:
- - Managed projects from start to finish, with responsibility for planning, coordination, and follow-up.
- - Handled supplier contacts, contracts, and cost tracking.
- - Planned and executed internal events that strengthen culture and engagement.
- - Worked on creating structure and processes for office environments and services.
- - Taken responsibility for budget frameworks and made prioritizations in a dynamic environment.
- - Contributed to developing workplace culture through initiatives and activities.
In short – you are unpretentious, solution-oriented, and great at building relationships. You don’t wait for someone else to create the structure; you take the initiative yourself. You enjoy combining operational work with strategic responsibility and want to provide the best conditions for a vibrant Lyko culture - and you do it with a smile!
About the position
You will be part of the People & Culture team and report to Klara Nygren, Internal Communication & Brand Manager. The position is permanent with a start date as soon as possible or by agreement. You will work from our lovely office on Sveavägen in Stockholm.
As Office Manager, you have a central role in the daily operations, and we therefore see that you are on-site most of the week. We are looking for someone who enjoys being present in the business and who can be flexible with working hours when needed, to create a smooth and well-functioning everyday life in the office.
