Qualified Administrator Wanted for the Habilitation Course and Knowledge Center!

The Course and Knowledge Center (KKC) is a unit within Habilitation & Health.

We are centrally located in Södermalm, Stockholm. The operation is part of the Stockholm region. KKC offers groups, courses, and lectures for individuals with autism and their relatives, as well as for individuals with intellectual disabilities (ID). We consist of a children's team, an adult team, an ID team, and an administrative team.

About the Position:

As an administrator with us, you are one of the most important resources for our patients and for colleagues in our unit. Your tasks include:

  • Supporting the care process with the inflow and outflow of all patients in the unit. This includes referral management, appointment booking, billing, record keeping, 1177, and interpreter and medical travel bookings.
  • Responsibility for IT issues and handling of the course booking system, online courses, the unit's course catalog on the website, and informational materials.
  • Staffing the reception phone and entrance, guiding patients both digitally and by phone, as well as on-site in our facilities.
  • Handling schedules and personnel administration, mail management, orders and purchases, and invoices.
  • A close collaboration with three other administrative colleagues where you share tasks in certain areas and have more responsibility in others.

About You:

Qualifications:

  • Requirement for very good computer skills and a strong technical understanding of IT systems.
  • Experience and good knowledge of healthcare-related IT systems or other relevant IT systems such as TakeCare, 1177, Always Open, Heroma, Clockwork, Pingpong, Support and Treatment (SoB), Raindance.
  • Very good knowledge of Microsoft Office (Excel and Word).
  • Requirement for good knowledge and experience of administrative work in a patient-safe manner in accordance with patient, confidentiality, and data management legislation.
  • Experience in course and group administration.
  • Experience in improving administrative processes within healthcare or equivalent, as well as work with digital accessibility.
  • Education in healthcare administration and/or IT.
  • Fluent and very good knowledge of Swedish and English in both spoken and written form.
  • Meritorious: Experience with medical travel and patients with protected identities. Also, experience with our target groups children/adults with autism and individuals with ID.

  • The position requires excellent communication skills as you will meet patients with reduced cognitive and communicative abilities.
  • You are resilient, flexible, and have good collaboration skills.
  • The work is varied and sometimes intense with many different tasks and moments. It is therefore crucial that you are structured and have a good ability to plan and prioritize your work.
  • High concentration ability and the ability to shift focus between different parallel processes without losing track of what you were doing.
  • Proactive and quick learner.

Working Hours:

Daytime: 08:00-16:30, flexible agreement applies.

About the Organization:

Habilitation & Health is part of the Stockholm County Healthcare Region (SLSO) within Region Stockholm. We are a knowledge organization that conducts its own research and development and operates several specialized units. We have specialist knowledge of how disabilities can affect daily life, health, and development. We consist of approximately 700 employees and 30 clinics in the Stockholm region.

The position is filled on the condition that it does not need to be used for internal relocation, according to applicable regulations.

For Patient-Centered Work within the Stockholm County Healthcare Region:

  • Background checks are applied before the employment decision according to applicable guidelines.
  • Employees who will have patient contact must undergo a new employment examination, according to applicable directives, which is done through occupational health services before employment.
  • In addition to Swedish professional certification, good knowledge of the Swedish language corresponding to level C1 according to the Common European Framework of Reference (CEFR) is required. The same requirements apply to non-licensed personnel with patient contact.
