About the Position
In the role of administrator with us, you will be an important part of our administration and contribute to the smooth, efficient, and lawful operation of the organization. The position involves combining administrative work with development work – all to create security and quality for the citizens of our municipality as well as for our administration. With us, you will have the opportunity to work in a varied role where your structure, accuracy, and service mindset contribute to the success of the organization. The position is a permanent full-time employment currently placed in the Sustainable Development department of the Community Planning Department.
Your main responsibilities will include:
- Administration within the department's authority area, such as building permit administration, etc.
- Invoice management - Reviewing, coding, and administering supplier and customer invoices to ensure correct and efficient payment processes.
- Record keeping and registration in case management systems Evolution and Castor, receiving, registering, and disclosing documents according to applicable regulations.
- You will educate, initiate, and contribute to the development of working methods in our case and document management systems.
- Archiving and document management - Structuring, registering, and archiving documents according to legislation and our internal guidelines to maintain clear and secure document management. Developing and digitizing our routines for information management and archiving.
- Ensuring that personal data is handled correctly and that the organization complies with the data protection regulation.
- Administrative support - being a contact point and providing support to managers and employees in various administrative matters, primarily advising and supporting the administration on issues related to transparency, confidentiality, and archives. You will actively participate and contribute to the administration's development and improvement work and are interested in developing work routines and processes, among other things.
Qualifications
We are looking for someone who has a desire to learn and a genuine interest in developing within the role. It is an advantage if you have experience or knowledge in any of the areas, but your curiosity and engagement are what matter most. As a person, you are structured, self-driven, and meticulous in planning, prioritizing, and meeting deadlines. You work methodically, follow guidelines, and have an eye for detail. With a results-oriented approach, you can analyze and interpret information and independently solve tasks within given frameworks. You thrive in a supportive role, are service-oriented, and contribute to a good work environment by meeting colleagues, managers, and external contacts in a professional and trust-building manner.
To thrive and succeed in the role, we are looking for someone who meets the following:
- Post-secondary education with a focus on economics, social sciences, or law, or other education that the employer assesses as equivalent.
- Is communicative and has an easy time expressing yourself in speech and writing.
- Is structured and systematic in your work while being driven, able to work independently, and take your own initiatives.
- Has an eye for detail and can see the big picture.
We see it as an advantage if you have:
- Experience working with registries, GDPR, or finance.
- Experience working in a politically governed organization and within authority exercise. (Building permits, environmental supervision, etc.)
- Experience in business development and digitization.
