We are the agency responsible for prisons, probation, remand prisons, and client transport.

Job Description

We are now looking for a new Executive Assistant to our operations. Together with your colleague in the Executive Assistant role, you will work in close collaboration with the managers within the operational area.

In your role as Executive Assistant, you support managers with personnel matters regarding working environment, rehabilitation, the Work Influence Act (MBL), collective agreements, wage formation, and personnel planning. The role also includes working with certain parts of the recruitment process.

As an Executive Assistant, you participate in management group meetings, negotiations, and the safety committee, and you are responsible for preparing materials and producing minutes. In the local management group, you, together with the Prison Governor, are responsible for coordinating issues within your area. You will also participate in regional Executive Assistant meetings, maintain continuous contact with regional parts of the operations as well as union representatives and external actors. Furthermore, you act as a support to managers in specific matters such as the HR annual calendar, operational planning, and follow-ups.

We are looking for someone who has:

• An academic education in a subject area relevant to the position, preferably within HR or personnel science, or alternatively other education combined with experience that the Swedish Prison and Probation Service considers relevant.
• Work experience within personnel/HR or other corresponding experience that the Swedish Prison and Probation Service deems relevant for the position.
• Experience of independently conducting, leading, and supporting processes.
• Good knowledge of Swedish, both spoken and written.

In the role of Executive Assistant, you need to be self-reliant and responsible. As an Executive Assistant, you will support managers in several different contexts, which requires you to have high integrity and a good ability to listen to the manager's need for support. As a person, you are service-oriented and have the ability to help others find solutions. You need to be stable, meticulous, and structured in your work. It is of great importance that you act in accordance with decisions made, goals, policies, and guidelines, and that you follow the confidentiality that your role entails. You plan, organize, and prioritize your work efficiently. You take independent responsibility for your tasks and have a holistic perspective.

You thrive in a partly administrative role and are accustomed to working in a structured and systematic way, as the role involves holding together and driving processes with several actors simultaneously. The role involves many contact surfaces both within and outside the organization, and therefore high demands are placed on good communication and collaboration skills.

Additional Merits:

It is an advantage if you have:

• Good knowledge of and experience with the Employment Protection Act (LAS)
• Good knowledge of and experience with the Work Influence Act (MBL)
• Good knowledge of and experience with collaboration
• Good knowledge of and experience with the Act on Prohibition of Discrimination (AML)
• Good knowledge of and experience with the Working Hours Act (ATL)
• Good knowledge of and experience with the significance of collective agreements
