The Swedish Parliament Administration is an agency tasked with facilitating the work of the Riksdag (Swedish Parliament). Approximately 750 non-partisan employees work at the Swedish Parliament Administration, handling a wide variety of tasks.
We are now looking for a Conference Assistant for our Service Unit – a role close to Members of Parliament and other meeting organizers within the Riksdag. We offer you a developing and flexible job in a committed and service-oriented team, with responsibilities including room booking, event arrangements, and meetings.
Your Responsibilities
As a Conference Assistant, you will work in a professional office environment with many contacts. Interacting with bookers, organizers, and visitors is a key part of the role, where your ability to provide excellent service plays a crucial role. You will work both independently and as part of a team, contributing with your commitment and competence.
You will work daily in our internal booking system, handling inquiries and bookings via phone and email. You ensure that bookings are made in accordance with the Riksdag's regulations for the use of premises and are responsible for coordinating logistics and communication with organizers. In this role, you plan and prepare events, arrange furniture in rooms, and provide support regarding technology and equipment in meeting rooms. You also provide technical support during meetings and events and ensure that the premises are presentable, functional, and welcoming. The work also includes documentation, administration, and gathering relevant information.
We often help each other out, and other tasks within the Service Unit may arise. Working hours are usually during the day, Monday–Friday, but evening and weekend work may occur.
Your Qualifications
The position places high demands on service level and professionalism, and thus on your knowledge within service, your flexibility, and your commitment. You can prioritize your tasks based on operational needs and have very good initiative and teamwork skills. Since you often work independently in our buildings, it is important that you are unpretentious and confident in yourself and your professional role, to be able to structure your workday, find solutions to urgent situations, and make independent decisions.
You have
- a high school diploma in a field relevant to the position
- several years of experience working in service
- several years of experience in similar tasks involving room booking, planning, and conducting various types of conference activities and meetings
- strong administrative skills with good knowledge of the Office suite
- good security awareness and knowledge of what working under secrecy entails
- good proficiency in Swedish and English, both spoken and written.
It is an advantage if you have
- post-secondary education relevant to the assignment or other equivalent competence
- experience with logistics and scheduling for multiple events simultaneously
- technical understanding and experience handling simpler IT equipment and conference technology
- experience conducting digital meetings
- experience working with preliminary studies, investigations, or projects
- experience organizing international events
- experience from the civil service or a politically governed organization
- experience working in security-sensitive operations.
