We are now looking for a qualified administrator (program administrator) for a permanent position at Sida.

About the job

The role involves qualified administrative work with a focus on supporting the unit's case handlers with quality assurance, internal control and management, as well as economic administration related to aid efforts that Sida carries out through external cooperation partners. You will also work on monitoring the unit's ongoing costs and assist with other administration related to the unit's internal work. The role involves close collaboration within the unit, where you are expected to contribute to the unit-wide cooperation. You will also collaborate with colleagues in other departments and at Sida as a whole. You will also participate in Sida's global network for administrators for joint learning and exchanges with other administrators working in the same function worldwide.

You will belong to the Research Cooperation Unit, which is a unit of approximately 10 employees and is part of Sida's Global Division. The Global Division brings together global strategy and effort management and works based on Sida's various thematic areas.

Responsibilities

  • Ongoing economic administration such as reviewing payments to cooperation partners and handling invoices.
  • Assist the unit manager with financial monitoring of both the aid budget and the budget for internal costs.
  • Support case handlers in managing aid efforts in Sida's various IT systems (e.g., effort management system and documents, economic and invoicing systems).
  • Quality assure decisions regarding support to cooperation partners.
  • Participate in department-wide work on internal control and management.
  • Contribute to other administrative and coordinating tasks that may arise in the unit/department.
  • Serve as the unit's contact for IT matters.
  • Meeting bookings and minute-taking.

Qualifications

Education

  • Upper secondary education, preferably in a relevant area, e.g., administration and/or economics or equivalent.

Languages

  • Very good knowledge of Swedish and English.

Work experience and skills

  • Several years of current experience in independent administrative work.
  • Experience in accounting and/or financial monitoring.
  • Experience with economic, accounting, electronic invoice management, and document and case management systems.
  • Experience with digital work tools and systems such as Outlook and the Office package (including Excel). Experience with SharePoint is preferred.

Functional competencies/abilities:

The ability to work carefully and structured towards set goals and given timeframes is crucial for success in the role. The focus of the role is to support other employees in the unit and department. Having good communicative and pedagogical skills is also important in the role, which involves contacts and collaborations within and outside the unit.

For this role, you need to:

  • Be able to lead yourself and take responsibility for your own development.
  • Be good at collaborating and creating trusting relationships.
  • Be able to handle resistance, be flexible, and solution-focused.
  • Be able to translate experiences and lessons learned into action.

It is meritorious for this role if you

  • Have experience working in an administrative role at a Swedish government agency or within international development cooperation.
  • Have experience working with grants and calls for proposals or in an administrative role within a research council or at a university or similar.
  • Have language skills in, for example, Spanish, Portuguese, or Arabic.

Good to know

The position is a permanent appointment. Probation period applies.

Start date: 2026-09-01 or as agreed.

Sida offers the possibility of remote work to some extent if it works for the operations.
