About the Swedish Prison and Probation Service (Kriminalvården)

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will become safer and more secure for everyone. We are the agency responsible for prisons, probation, remand prisons, and client transport.

The Service Center (KSC) is part of the headquarters. The unit exists to free up as much administrative time as possible for managers and employees within the core operations of the Swedish Prison and Probation Service. We support the agency with personnel and economic administrative services, travel booking, administrative support, and the agency's switchboard function. KSC serves as an entry point and aims to provide friendly and professional support that facilitates operations.

KSC is now looking for a qualified and service-oriented executive assistant who wants to be a central function in a fast-paced operation with many contact surfaces.

As a case manager and executive assistant at the Swedish Prison and Probation Service's Service Center, you will support and work closely with all our approximately 20 managers – unit managers, section managers, and group managers.

You will contribute to creating structure, coordination, and good conditions for daily work.

Job Description

As an executive assistant, you have an important coordinating and administrative function. The role involves close collaboration with the unit's managers, and you act as support in both operational and administrative matters. With significant personal responsibility, you contribute to creating structure and ensuring efficient administrative support for the operation's managers.

The work is varied and requires the ability to prioritize, plan, and handle several parallel tasks simultaneously. Examples of tasks may include assisting in forecasting decisions, budgeting, and risk management, follow-ups, purchasing/ordering functions, and minute-taking.

Qualifications

We are looking for someone who has:

• Complete upper secondary education (high school diploma or equivalent)
• Experience working with qualified administrative tasks
• Experience working in an administrative service function where contact with employees and managers is common
• Experience using IT as support in daily work
• Very good ability to express yourself well in speech and writing in Swedish
• High digital maturity and good knowledge of the Office package

The following are also meritorious:

• University/college education or other education that the Swedish Prison and Probation Service finds relevant for the position
• Experience working within government operations
• Experience working as an executive assistant or management support
• Knowledge of the economic system Proceedo
• Knowledge of the personnel system Heroma
