A varied and service-oriented role combining administration and reception. The position is full-time and based at our office in Stockholm, where you will be a central part of daily operations.

About the Role:

We are growing and want to ensure our daily operations continue to run smoothly and efficiently. Therefore, we are now looking for an Office Assistant for our office in central Stockholm. In this role, you will become a central part of the office and a key resource for the entire organization, creating structure, well-being, and a professional overall impression. You will work closely with both colleagues and management, enjoying a varied daily routine with many touchpoints where you combine reception duties, meeting coordination, and administrative support to various managers.

The role involves significant personal responsibility and suits you if you thrive in a fast-paced environment and enjoy being the one who makes things work behind the scenes. You will report to our Office Manager and collaborate closely with other assistants and internal functions, stepping in wherever needed.

The position is located in Stockholm and is an office-based full-time role. This is a perfect opportunity for you if you wish to develop within administration, service, and executive support.

Your Main Responsibilities:

  • Provide administrative support to teams and managers, including calendar and meeting coordination
  • Book and coordinate travel and handle related administration
  • Process invoices and handle basic financial administration
  • Ensure structured document management, including handling and tracking document signatures
  • Responsible for office operations, security, supplier contacts, and contributing to events and internal activities as needed
  • Share responsibility for the reception with a colleague and act as the first point of contact for visitors, guests, and suppliers as needed
  • Create a professional and welcoming overall impression of the office
  • Coordinate and host internal and external meetings, ensuring everything runs smoothly
  • Plan and order lunches, coffee breaks, and catering for meetings and events

About You:

  • You are service-oriented and have a natural ability to make others feel welcome and cared for
  • You have previous experience in similar roles such as reception, conference host, or other service-oriented positions
  • You take ownership of your work, drive tasks forward independently, and are proactive, anticipating needs before they are requested
  • You are flexible and a team player without ego, thriving in a fast-paced environment where you can make quick decisions to ensure smooth operations
  • You enjoy a role with many touchpoints and collaborate smoothly with others
  • You work in a structured manner and have good prioritization skills in a varied daily routine
  • You are accustomed to working in various IT systems, have experience with document management, and possess good knowledge of the Office suite
  • You communicate professionally and have very good command of Swedish and English, both spoken and written, as we are an international workplace
