Your daily life as a Project Administrator

The unit consists of project managers located in Uppsala and Enköping, as well as an investment manager and a unit manager who split their time between the locations.

The unit carries out construction and infrastructure projects within a geographical area covering the counties of Uppsala, Västmanland, Örebro, Dalarna, Gävleborg, Värmland, and Södermanland. The project managers lead and coordinate the work throughout the entire construction process, from early stages and planning to completion and handover to management and customers.

The Project Department is responsible for the Fortifications Agency's construction investments linked to the operations and customers' needs. The need for appropriate premises and fortifications is increasing, which means continued high investment volumes in the coming years.

In the role of Project Administrator, you are a key support to project managers and the unit manager. The responsibilities include varied administrative tasks.

Your duties include assisting project managers with access handling, documentation, minute-taking, orders, and diary registration. You assist the unit manager with follow-ups, compilations, minute-taking, as well as planning and ordering of training and conferences.

You work with various support systems such as Agresso, Platina, and other systems for project documentation.

You participate in meetings or other groups where you are responsible for taking notes, planning agendas, and creating structure before and during meetings.

English is currently used to a limited extent but will gain greater importance in the future as international cooperation increases. The language will then be used, among other things, for minute-taking, reviewing documentation, and communication in various systems.

The role also involves contributing to a well-functioning office environment by keeping shared spaces tidy, preparing conference rooms, and ensuring the office is welcoming and operates smoothly in daily work.

The role is under development, which means that tasks and areas of responsibility may evolve over time based on operational needs.

The position may involve travel primarily within the division's area.

Qualifications

For the position, we require a completed upper secondary education as well as several years of current and documented experience working independently in an administrative role with varied tasks and multiple contact points.

Several years of experience working with Microsoft Office programs (Excel, Word, and PowerPoint) and good ability to communicate in Swedish and English, both verbally and in writing, are prerequisites for the position. You have experience with diary registration. A valid driver's license (Category B) is required.

It is meritorious if you have experience with similar tasks within a government agency, municipality, or other large organization. Experience from the construction and/or real estate industry, as well as work in security-classified operations or with security-classified assignments, is also meritorious. If you also have experience working in the document and case management system Platina, we view this as an advantage.

About the employment

The position is a permanent employment and may start with a probationary period. As a permanent employee, you will be mobilized for wartime service. The location is Uppsala. An employment with us requires Swedish citizenship and involves placement in a security class. Security clearance with register check will be conducted prior to employment in accordance with Chapter 3 of the Security Protection Act.
