NAISS, the National Academic Infrastructure for Supercomputing in Sweden, provides large-scale computing resources, storage, and data services for academic users. NAISS is a center of excellence hosted by Linköping University with 12 partner universities across Sweden.

About the Role

As a Coordinator, you are a key part of the NAISS organization and administrative operations, providing qualified and close support to the NAISS Director, the Management Group, and the Department Head. You contribute to structure, coordination, and progress in management work, while also being responsible for coordinating meetings, conferences, and other events. The role is broad and autonomous, requiring good judgment, high integrity, and excellent ability to prioritize and handle multiple parallel tasks in a complex environment.

The duties include administrative support for:

  • The Chair of the Board, including meeting administration and handling of decision materials and minutes
  • Various working groups such as stakeholder councils, reference groups, and other advisory bodies
  • The Director, Management Group, and Department Head

The responsibilities include:

  • Planning, coordinating, and organizing meetings, conferences, and other events
  • Information dissemination and internal and external communication with NAISS branches and other collaboration partners
  • Updating information on the website
  • Ongoing operational administration such as handling incoming inquiries, travel coordination, personnel and economic administration, purchasing and orders, preparing premises, preparing documents for registration, and mail handling

Experience with website management and working with the event management system Lyyti is considered an asset.

About You

We are looking for someone who is calm, attentive, and accommodating in your interactions, and who has the interest, willingness, and ability to help others and strive to deliver solutions and solve problems. It is of great importance that you have good analytical skills and can independently solve emerging problems. You work well with others and take responsibility for your tasks. You are structured and proactive, and you have the ability to plan, organize, and prioritize your work effectively, as well as set and maintain timeframes. You are someone who sees opportunities in change and adapts easily to changed circumstances.

We are looking for someone who has:

  • A three-year upper secondary education and relevant advanced courses for the position
  • Several years of experience in independent work within management support
  • Good computer skills and experience with support systems for conference and meeting administration
  • Documented experience in administration and coordination between functions at a national level
  • Experience in administration and coordination between functions at an international level
  • Experience working within government agencies or higher education institutions, including knowledge of their regulations
  • Experience organizing and administering large conferences
  • Very good ability to communicate verbally and in writing in both Swedish and English

It is an asset if you have:

  • Experience from managing websites
  • Experience working with the event management system Lyyti

Your Workplace

You will work at NAISS, which currently consists of 54 people, in close collaboration with your colleagues in the administrative unit. Your direct manager will be the NAISS Department Head, who is also the Unit Manager for the administrative unit.

About the Employment

Permanent position, full-time (100%).

Start date: ASAP or as agreed.

Salary and Benefits

Linköping University applies individual and differentiated salary setting in accordance with the current collective agreement (RALS/RALS-T) and the university's guidelines for salary formation.

NAISS offers its employees the opportunity to work remotely up to 40% of working hours.
