We are currently looking for an engaged Office Coordinator for our client in Gothenburg. You will be part of the Administrative Service department, a professional team that collaboratively coordinates, drives, and develops work related to offices, meetings, and service. Your main responsibilities include:

  • Staffing the reception and switchboard with a warm and professional attitude.
  • Handling mail, orders, and office purchases.
  • Coordinating and planning meetings as well as social activities, such as breakfasts, coffee breaks, celebrations, and seasonal or themed events.
  • Ongoing invoice management and administrative tasks.
  • Proactively working to keep the office environment welcoming and pleasant.
  • Contributing to the development, structuring, and improvement of internal routines and working methods.

This is a full-time consultancy assignment located at the client's office in central Gothenburg. The assignment is expected to start in mid-August and run until the end of February, with good opportunities for extension. Working hours are scheduled Monday-Friday between 07:45-16:30. Responsibilities

  • Staffing the reception and switchboard with a warm and professional attitude.
  • Handling mail, orders, and office purchases.
  • Coordinating and planning meetings as well as social activities, such as breakfasts, coffee breaks, celebrations, and seasonal or themed events.
  • Ongoing invoice management and administrative tasks.
  • Proactively working to keep the office environment welcoming and pleasant.
  • Contributing to the development, structuring, and improvement of internal routines and working methods.

Qualifications

  • At least a three-year upper secondary education.
  • Experience in a role where you interacted with many people daily and handled multiple parallel service cases.
  • Previous experience working as a coordinator for an office, reception, or switchboard.
  • Experience coordinating larger meetings and social activities (e.g., events and breakfasts).
  • Experience with practical invoice management.
  • Very good communication skills and a genuine service-oriented attitude.
  • Good IT skills and confidence in digital tools (such as the Office package, Teams, and booking systems).
  • Fluent Swedish in speech and writing.
  • Valid driver's license (Category B).
