We are now looking for an administrator responsible for contact with authorities who wants to contribute with their precision and organizational skills in our central organization.
About the position
As a responsible education provider, AcadeMedia is obliged to follow several laws and regulations that govern the operations. An important part of this is the so-called ownership and management review, which regulates the requirements placed on those who run independent schools in Sweden. We are now looking for an administrative star who wants to take special responsibility for the administration regarding AcadeMedia's ownership and management review for the Swedish operations, while simultaneously supporting the organization with other administrative tasks.
In this role, you will become an important part of our central organization. You are responsible for coordinating information, keeping documentation in order, and acting as a contact person for administrative matters towards supervisory authorities. In short – you ensure that the right things are in the right place at the right time.
The position suits you if you like structure, have an eye for detail, and enjoy creating order in complex processes. You are service-oriented, precise, and take pride in delivering high-quality work in a business that makes a difference every day.
Main responsibilities
Your responsibilities will include among other things:
- Coordination and administration of the group's work with ownership and management review.
- Collection, control, and compilation of information and supporting documents from board members, management personnel, and other relevant persons.
- Contact with the Swedish Schools Inspectorate, municipalities, and other authorities regarding administrative matters.
- Monitor deadlines, reporting requirements, and submit amendments.
- Maintain and develop internal registers, routines, and documentation.
- Archiving and document management.
- Other ongoing administrative support to the operations, such as booking of travel, meetings, and conferences.
Who are you?
We are looking for someone who:
- Has at least three years of experience in qualified administrative work.
- Is very precise and has a good sense of order and structure.
- Is accustomed to handling sensitive information with a high degree of integrity.
- Has good administrative and digital competence.
- Expresses yourself well orally and in writing in Swedish and English.
- Is self-reliant, responsible, and has an easy time collaborating with many different functions.
It is meritorious if you have experience working in the education sector, public operations, or other regulated operations, as well as experience handling corporate administrative documents.
To succeed in the role, you need to be precise without it affecting your efficiency. There may be a high inflow of cases, which is why stress tolerance and a flexible approach to work are important. The work involves a large number of contacts with both people working within our operations.
What we offer

You will belong to the group's legal department, led by the Chief Legal Officer and consisting of seven employees.
Scope and location of the position
The position is a full-time, permanent position. We apply a probationary period. The office is located at Adolf Fredriks Kyrkogata in Stockholm. Start date according to agreement.
