Executive Secretary to the Director General at Lantmäteriet

Lantmäteriet is the authority responsible for mapping Sweden. Our tasks also include registering and securing the ownership of all real estate properties and managing their boundaries. We are now looking for you who have a strong commitment to society.

Lantmäteriet is the state surveying authority and administrative authority for matters concerning real estate division, basic geographic information, real estate information, and registration. Lantmäteriet is governed, among other things, by the government's annual letter of appropriation and is a board-governed authority. The Director General is the head of the authority.

The DG Support Unit provides strategic and administrative leadership support to the Director General and coordinates certain cross-authority issues. This means the unit has tasks such as coordinating, initiating, and driving issues in relation to the Government Offices, assisting the Legal Counsel with legislative development, coordinating the Director General's cases and the preparation of such cases prior to decisions, quality-assuring and following up on certain of the authority's planning, steering, and support documents, and providing administrative support to the board, the Director General, and the management group. It also entails responsibility for planning and coordinating both the work of Lantmäteriet's management group and the board work.

RESPONSIBILITIES

We are now strengthening the support unit around the DG and are therefore looking for an Executive Secretary. As Executive Secretary, you will have an important and coordinating role as support to the Director General. You will also work closely with a colleague responsible for supporting a number of business area managers. In practice, this means teamwork where you collaborate and support each other in daily work, and cover for each other during absences.

This also involves being able to support other managers within the authority. The tasks imply that you are expected to be able to represent the Director General or a business area manager in current matters towards other functions within the authority, in both the dimensions of steering and support.

Your tasks are diverse and varied with the common denominator of service, good structure, and quality. To thrive in the role, you need to be attracted to a job that offers varied tasks where flexibility is required. You need to enjoy seeking collaborations and finding solutions together with others. Even when assignments are unclear or at a stage where no one has much data.

You will provide support with, for example, booking meetings, conferences, email handling, and mail. You will also handle internal processes such as keeping preparations together, writing background materials, facilitating recurring meeting series, suggesting efficiencies and improvements to routines and working methods. You will have great insight into what is happening in the organization and report directly to the head of the DG Support Unit.

You have an important and central role for Lantmäteriet's top management, and your coordinated effort contributes to a smooth working day for the leadership. A great deal of trust rests on you, and your working style is proactive, attentive, and solution-oriented. Your work is varied, and you have opportunities to influence and develop your tasks and working methods yourself. The role requires good cooperation both internally and externally.

The placement is at Lantmäteriet's offices in Gävle, Uppsala, or Stockholm. The majority of employees within the support unit are located in Gävle, which is why regular presence in Gävle is required.

QUALIFICATIONS

We are looking for you who have a high school diploma and several years of experience in similar work in a larger public organization/authority. This means to us that you have at least 3 years of experience working as leadership support for managers in the highest management group in a larger public organization/authority. You have a good ability to express yourself in speech and writing in Swedish and have good knowledge of technical work tools such as the Office package.

It is important that you can absorb and understand our daily life and our needs and can translate them into actions.

Personal qualities are of great importance to us. We are looking for you who have the ability to create structure and order and have a good foresight in your work. You have a clear personal drive, find it easy to take own initiatives, and work well independently. You also find it easy to collaborate with others and create professional and trusting relationships. Providing good service feels easy and natural to you. You are meticulous and care about delivering with good quality. You handle both routine work and new challenges without problems. You can also analyze existing working methods and come up with suggestions for new ones. It is important that you can handle confidential information with high integrity.

In addition to this, you have personal ability and aptitude to work in accordance with Lantmäteriet's employee criteria.

Working in the state means that you follow the state's values. Special requirements are also placed on judgment, security thinking, and that you follow applicable laws.

The position is security-classified, which means that you must be a Swedish citizen and that a security investigation with register control and security investigation interview will be conducted before employment. The role also implies that you will be assigned for war service.
