The Municipal Executive Board Administration is responsible for steering, leadership, and coordination within the municipality. We contribute to turning visions and political decisions into reality. We are approximately 275 employees with specialist knowledge in areas such as finance, procurement, HR, communication, development and administration, digitalization, law, place development, and safety and security issues.
The Role and Responsibilities
We are looking for an Assistant Unit Manager for the Democracy and Secretariat Unit.
As the Assistant Unit Manager, you have overall operational responsibility for the municipality's archives and information management, as well as responsibility for the administrative processes and budget of the political operations. The role is newly established and aims to strengthen the unit's prerequisites to develop, ensure quality, and coordinate important municipality-wide functions.
You work closely with the Head of Secretariat and play a central role in ensuring that operations are conducted efficiently, legally secure, and with high quality in execution and results. Within archives and information management, you lead and coordinate the unit's work and drive development issues related to information handling, steering, and long-term working methods. You are also responsible for the budget and administration related to political operations, including honorarium-paid politicians and political secretaries.
Your main responsibilities:
- Lead and coordinate operations within archives and information management.
- Drive development and improvement work within information handling and the archive area.
- Be responsible for the budget and administrative processes related to political operations.
- Support the Head of Secretariat in budgeting, forecasting, and follow-up work.
- Contribute to operational planning, follow-up, and quality development within the areas of responsibility.
- Collaborate with operations, managers, and other key functions in the municipality.
The position entails broad responsibility with many contact points, where you combine operational work with development and improvement efforts.

The Democracy and Secretariat Unit is responsible for several of the municipality's central support functions. Here, archivists, registrars, lawyers, and data protection officers work together to create service that meets the needs of operations, ensure legally secure processes, and develop efficient working methods. The unit is in a development phase where several processes within information management and operational steering need to be further developed and quality assured.

You who apply to us
You have an academic degree in archival science, information management, public administration, or other education that the employer deems equivalent. You have several years of experience in qualified work within archives, information management, or a related area.
Other requirements for the position:
- Experience of working in public operations in a similar role.
- Experience of driving development and change work within archives, information management, or a related area.
- Experience of coordinating operations within the archive or information management field.
- Experience of budget responsibility and financial follow-up.
- Knowledge of legislation and regulations governing public information handling.
- Ability to express yourself clearly and correctly in Swedish, both orally and in writing, meaning you can adapt your communication to the target group and context.
Merits:
