Contribute to facility supply issues in an expanding office environment
The Swedish Fortification Administration is a rapidly growing agency with unique competence in defense properties, fortification, and security-sensitive operations. We work closely with our partners in an increasing number of construction projects. The Facility Supply and Internal Service unit was formed earlier this year and is responsible for the Fortification Administration's facility supply.
We currently consist of six employees and one unit manager. We are now expanding further in Stockholm in terms of the number of projects, buildings, and employees, and are hiring an Operations Coordinator for our operations on Kungsholmen because the need for internal support in the office is increasing. Together with the site manager, you will become an important part of the internal support and will be involved in creating good working methods and local office routines.
The position involves:
- handling questions related to office operations together with the site manager. This could, for example, involve tidiness and order in shared office spaces, coordination regarding overarching information, being the contact person for external suppliers, handling visitor registrations and key receipts, and contributing to on- and offboarding processes.
- administering office purchases
- providing support in planning and preparing the budget
- serving as an administrative resource for another office in Stockholm as well
- responsibility for representation during important external visits will eventually be part of your role.
- Other tasks related to office operations may also occur.
You will also serve as an administrative resource for the new unit in other areas of need. This could involve meeting bookings, system matters, and project-specific tasks. Based on the ongoing growth journey, the tasks may be adjusted or supplemented during the course of work. Travel may occur, which can be planned in advance.
Qualifications
We are looking for you who have:
- a completed upper secondary education, preferably supplemented with post-secondary education in administration, property, or similar as deemed suitable by the employer
- experience in administrative work in a coordinating role within a larger organization
- good knowledge of the Office package (Excel, Word, and PowerPoint)
- very good ability to express yourself in Swedish, both orally and in writing, as well as good knowledge of English
- driver's license, class B
- Swedish citizenship.
It is meritorious if you have previously worked in a similar role as an operations coordinator within facility supply. It is also meritorious if you have experience with the Public Procurement Act (LOU) and/or knowledge of invoice management systems.

About the employment
The position is a permanent employment and may start with a probationary period. As a permanent employee, you will be assigned to wartime duties. The location is Stockholm, Kungsholmen. Employment with us requires Swedish citizenship and involves placement in a security class. Security clearance with register check will be conducted before employment in accordance with Chapter 3 of the Security Protection Act.
