The Administration for the Municipal Executive Board is one of Mjölby Municipality's six administrations and serves as the secretariat for the Municipal Council, the Municipal Executive Board, and the Electoral Committee. With approximately 130 employees, we drive strategic issues throughout the organization, coordinate municipality-wide work, and support both the political leadership and other administrations. The administration consists of the Municipal Leadership Office, Finance and Control, HR and Payroll, IT and Digitalization, Communication, and Business and Marketing.

The Secretariat Unit consists of the Municipal Secretary, Administrative Clerk, Archivist, and Head of Secretariat. The unit is responsible for the administration's political meetings, the registry office, archives, and has functional responsibility for the municipality's case handling process.

WORK ASSIGNMENTS

As an Administrative Clerk, you play a vital role in the Municipal Executive Board's case handling process and contribute to ensuring correct and efficient document management, both physically and digitally. The position requires you to be on-site at the office daily.

You have an important function in the municipality-wide work within the registry office and archive care. Your main tasks are to handle, register, and distribute mail, register and archive cases and documents, and handle requests for public documents. You will also work with election administration, for example, administration regarding polling stations and polling places. The role includes varied administrative tasks that may change and develop over time based on operational needs.

Other administrative tasks included in the assignment are purchasing, invoicing, and the registry for the Audit Office's secretariat. The role also includes being a system administrator, for example, for the trust person registry Troman.

QUALIFICATIONS

You have at least a 3-year upper secondary education in social sciences, economics, or equivalent, as well as higher education in public administration or other education that the employer considers equivalent.

You have previous experience working as a registrar, administrator, or in a similar role within public operations and have good knowledge of the laws and regulations governing registration, diary numbering, and disclosure of public documents within public administration. You are familiar with digital tools and working methods. You have a good ability to plan your own work, follow up, and ensure that tasks are completed.

You are a service-oriented person who works independently and structured. Attention to detail, flexibility, and the ability to adapt quickly to new tasks are central. You see the value in following processes and guidelines and ensure that everything is handled correctly and smoothly. We expect you to have good collaboration skills and to contribute to a positive work climate. You have the ability to follow instructions, statutory requirements, and steering documents.

The position requires very good knowledge of the Swedish language, both spoken and written, as it is important that you can interpret text content to secure the handling of incoming and created documents.
