The Personnel Department is a governing and supportive division whose mission is to contribute to the Swedish Maritime Administration being an attractive workplace with a strong employer brand and an efficient operation. We support the core operations in operational HR matters and develop HR strategies, guidelines, routines, training, and counseling for managers, leaders, and employees. The department consists of a Department Manager, Section Managers, HR Partners, HR Specialists, Contract Specialists, and HR Administrators. We are currently 32 professional HR colleagues in the department. We are in an exciting development phase and are further developing our HR organization, working methods, and our HR offering – a task where you and your colleagues will play a crucial role.

Working as an HR Specialist in Recruitment

As an HR Specialist in Recruitment at the Swedish Maritime Administration, you have an important role as professional support for our managers throughout the entire recruitment process – from initiation to final candidate. You work cross-functionally within the Swedish Maritime Administration's various operations and support managers in recruiting a wide range of competencies, from able seamen at sea to project managers and IT specialists on land.

The work includes both high-volume recruitment of hourly-paid employees as well as permanent appointments. The role is operational and involves a strong focus on recruitment administration, where you ensure that processes maintain high quality and that managers receive close and professional support throughout the recruitment.

The Swedish Maritime Administration is undergoing a digital development journey that will continue for several years. This means that parts of the recruitment work are currently carried out manually, and therefore the role suits you who are unpretentious, structured, and enjoy tasks with an administrative character.

In cases involving security-classified positions, you will conduct security checks and associated security clearance interviews. You collaborate closely with HR Partners, HR Administrators, Contract Specialists, and other HR Specialists to develop and improve our HR processes and contribute to an efficient and high-quality operation. Other HR-related tasks may also occur in the role.

We are looking for you who appreciate being an enabler for managers – someone who enjoys making processes work, has an eye for detail, and sees that well-executed administrative work is a prerequisite for a professional and legally secure recruitment process. In the long term, there may be opportunities for development in line with the continued development of the operations and processes.

Since the Swedish Maritime Administration's operations are geographically dispersed, travel as part of the job may be included.

Who are you?

To be considered for the role, you must have:

  • several years of academic education in the HR field (e.g., HR/Personnel Science program of 180 hp)
  • knowledge (through studies, internship, or work experience) about recruitment and competency-based recruitment techniques
  • very good ability to handle administrative tasks that require precision
  • very good ability to express yourself in speech and writing in Swedish

It is meritorious if you have experience of:

  • independently driving recruitment processes, according to the principle of competency-based recruitment
  • working in parallel with several recruitments with different focuses and recruiting managers, and quickly getting up to speed with new recruitment assignments
  • working in an operationally close 24/7 operation
  • working with the security clearance process and conducting security clearance interviews

You are unpretentious, precise, and see the value in creating structure and quality, even when working methods and processes occasionally require a fair amount of manual input. We see that you have a good attitude towards collaboration between colleagues within the department but also out in our operations to contribute to good work for the agency. We also see that you have good communication skills and an eye for detail to support our managers in the recruitment work in the best possible way.

How and when?

This recruitment is for a permanent position expected to be filled as soon as possible.

Interviews will be conducted digitally after the summer holidays with a planned start no earlier than week 34.

The Swedish Maritime Administration may apply a six-month probationary period.

The position may involve war-time placement at the Swedish Maritime Administration.

The position may require Swedish citizenship. Security clearance with register check may be conducted before an offer of employment.
