We are in an exciting growth phase and are now looking for someone who combines Customer Success/Support responsibilities with a new role as a Research Administration Specialist.

About the role

In this new role, you will become a central part of our Operations team. Approximately 70–80% of your time will be spent on support and customer success: you will help customers in their daily work, monitor platform usage, and ensure they get the maximum value from our collaboration. The remaining time will be dedicated to a more specialized focus on Research Administration as a Service (RAaaS), where you will help foundations and other funders run their calls for proposals and processes, often with a focus on finance and accounting.

You will work closely with customers, as well as colleagues in the operations and development teams. This role is ideal for someone who enjoys frequent human interaction, likes structure, and thrives on managing multiple parallel processes.

Your main responsibilities will include

  • Providing support and customer success to our customers via email, phone, and digital meetings.

  • Helping customers use our systems effectively and following up on cases.

  • Building relationships with decision-makers and key stakeholders at client organizations.

  • Working operationally with RAaaS, e.g.:
    - Managing application rounds and case flows.
    - Coordinating experts and reviewers.
    - Documenting decisions, minutes, and supporting materials.

  • Facilitating and leading customer meetings related to calls for proposals and processes.

  • Keeping track of parallel processes for multiple customers.

  • Contributing to finance-related workflows (e.g., invoice data, simple follow-ups) as needed, depending on your background.

Who are we looking for?

To succeed in this role, we believe you have:

  • Strong communication skills and confidence in customer interactions.

  • Experience with digital systems and the ability to quickly learn new tools.

  • Strong administrative skills and a natural sense of order.

  • Ability to handle multiple parallel processes and document decisions.

  • Comfortability in hosting and leading meetings with customers.

  • Fluency in Swedish and English, both spoken and written (some customers communicate exclusively in English).

It is highly meritorious if you also have:

  • Experience in customer contact, service, or support.

  • Basic understanding of IT systems or SaaS products.

  • Basic accounting/financial knowledge (e.g., invoices, reimbursement documentation) or a willingness to learn.

  • Experience in administrative work in public, academic, or similar environments.

As a bonus, we would appreciate if you have:

  • Experience in research, foundations, regions, or other research-related organizations.

  • Education in economics.

  • Previous work with implementation, project management, or coordination.

  • Experience with review processes, call administration, or expert coordination.

  • Understanding of or a strong interest in how a research call works.

You are service-oriented and professional, social, and confident in interactions with both customers and colleagues. You are driven, curious, and willing to ask questions and raise issues early. You have patience and a calm demeanor even in demanding customer situations, enjoy routine but can prioritize when the situation requires it, and are representative in meetings – even when visiting customers on-site.
