About the Department

The Archives and Registry Unit is part of the Executive Office and Chalmers' central business support. We are seven employees with competence in registry, archives, information management, and digital preservation. Together, we work to develop and improve support for the operations, a work characterized by collaboration, flexibility, and shared responsibility.

Chalmers continuously develops its working methods and system support for information management. The goal is to create more modern, proactive, and automated support for the operations. As a leading technical university, high demands are placed on efficient processes, good information management, and purposeful digital tools.

Information is a strategic resource for Chalmers, and our work contributes to handling, preserving, and using it in a way that creates value for the organization.

Job Description

The assignment involves having a key role in a comprehensive ongoing change project where we take the next step in developing Chalmers' support for document and case management (diary management). We are facing a system change for the university's and foundation's diary management system, and you will be a central part of this work.

Initially, you will work on driving issues related to requirements specification for a new system, dialogue with suppliers, and the development of structures for roles and permissions. You will also be part of the work to create processes for efficient and purposeful workflows.

During the implementation of the new system, you will work to ensure it meets the needs of the operations. You will also train users and participate in creating effective support for the organization.

Parallel to this, several other development initiatives are underway within the unit where you will contribute your competence. This includes, for example, work on the institution's information management plans as well as the development of working methods and routines related to electronic archiving and digital preservation.

The position is a permanent employment where we see in the long term that you develop into a role as Object Manager for the systems included in our management object, which includes registration, preservation, legal support, and signing services.

Employment Type

Permanent employment with a 6-month probation period.

Qualifications

We are looking for someone who has:

  • A university education in systems science and/or archive and information management, or equivalent experience
  • Several years of experience working in the public sector
  • Several years of experience working with document and case management systems (support for diary management)
  • Experience working independently with system-related issues in a business context
  • Good knowledge of the laws and regulations governing information management at a university
  • Very good communication skills in Swedish and English, both oral and written

You will also be highly valued for having:

  • Experience with system implementation or system change
  • Experience configuring business systems (e.g., permissions, structures, and workflows)
  • Experience with requirements specification and procurement according to LOU (Public Procurement Act)
  • Experience with project management, process mapping, and business development
  • Experience working with information management plans (according to the Archives Act and the Principle of Public Access)
  • Experience working with electronic archives
