Welcome to the HSL unit in Malmö City!
We are now looking for an assistant for HSL 5 to support the section manager and nurses with various administrative tasks. You will work at Erikslustvägen Monday to Friday, with light weekends, and a weekly working time of 38.25 hours.
Job Responsibilities
As an assistant, your workday consists of administration, daily contact, service, and administrative support for the section manager and nurses. You will work in a team with other assistants.
Your responsibilities include:
- Working in Malmö City's HR system, where all employment, attendance, and absence data are entered and serve as the basis for salary payments to the unit's employees.
- Handling invoices and data output in the economic system Ekot.
- Ensuring daily staffing in the operations during short and long-term absences.
- Managing contacts with staffing agencies and the city's own staffing organization for nurses.
- Diary management (filing).
- Creating and compiling statistics.
- Booking premises, placing orders, coordinating and distributing training places, and servicing cars and bicycles.
- Handling fault reports, receiving deliveries, and coordinating with craftsmen.
- Managing permissions in various IT systems.
Qualifications
We are looking for someone who has:
- A completed upper secondary education.
- Experience in staffing planning and overall personnel planning.
- Experience in coordination tasks within healthcare and/or care and elderly services.
- Good knowledge of Swedish, both spoken and written.
It is an advantage if you have:
- Nursing assistant education or post-secondary education in administration.
- Previous work experience in administration and/or service work, preferably within the municipal sector.
- Experience in administrative work within healthcare.
- Good knowledge of current system support such as Medvind and Ekot.
- Manual driver's license.
As a person, you are structured, receptive, flexible, and solution-oriented, while being open to new challenges. The position requires the ability to create and maintain good relationships. You see yourself as a natural part of the team, while also enjoying working independently. It is important to us that you are communicative, have a good attitude towards others even in stressful situations, and carry out daily tasks with high quality and service spirit.
