The Reception Unit of the Social Services is now looking for two qualified, engaged, and service-oriented administrators who wish to contribute to a safe and accessible society. About Us
The Reception Unit serves as the first point of contact between the Social Services and the citizens. We are responsible for telephone reception, the front desk, archives, mail handling, and administrative support to managers and social secretaries. Through collaboration, flexibility, and a high level of service, we contribute together to ensuring that the operations as a whole are conducted in a legally secure manner and that citizens receive good treatment and the right intervention at the right time.
About the Role
The role involves a broad administrative and service-oriented assignment with a focus on telephone reception, the front desk, archive and mail handling, as well as administrative support for social secretaries. As an administrator/receptionist, you are the hub of the network and the face of the operation. You meet citizens daily via the reception and telephone, where you provide guidance, information, and direct people to the right place within the organization. Among the administrative tasks are, among other things, registering new cases, handling the release of documents, reviewing invoices, and performing checks in the payroll system. The assignment is varied and includes both simpler, routine administrative tasks and more complex tasks.
About You
We are looking for someone who enjoys meeting people and has a humanistic view of humanity. You are meticulous, structured, and responsible, and are willing to take initiative. You need to have an understanding of how to handle sensitive information and confidentiality, as well as an awareness that you work in a dynamic work environment where reprioritizations, stressful moments, and unforeseen events occur. You collaborate well but can also work independently and have good communication skills. We place great emphasis on your personal suitability.
Requirements:
- Completed upper secondary education
- A few years of experience in customer service, reception, or administration
- Fluent Swedish in both speech and writing, as well as good knowledge of English
Merits:
- Post-secondary education, e.g., social worker or within administration
- Experience in customer service, reception, or administration within a public authority
- Additional languages besides Swedish and English
- Knowledge of practical handling of working time legislation related to payroll administration
- Experience with the operational systems Treserva and/or Personec
