About the Role
Johnson Controls is a global technology company with operations in over 150 countries, offering innovative solutions to increase energy efficiency and reduce operating costs in buildings worldwide. In Sweden, they have a nationwide presence in areas such as building automation, refrigeration, HVAC, and security. The office in Östergötland focuses on cooling systems for cruise ships, encompassing development, production, and service.
We are now looking for a meticulous and engaged Project Administrator who wants to become an important part of the project team. In this role, you will work closely with project managers and the finance department, handling administrative tasks such as procurement, booking of transport, invoice management, and support during deliveries. You will also work in the business system iScala and contribute to month-end closing. The position starts as a consultancy assignment via a recruitment agency, with good opportunities for employment with the client.

Responsibilities
The role of Project Administrator involves providing comprehensive administrative support to projects and teams, ensuring order and efficiency in all project phases.
- Support projects and departments with procurement-related questions and coordinate orders.
- Responsible for booking and coordinating transport and travel.
- Manage and administer documentation for access to shipyards and security-classified areas.
- Provide administrative support for major deliveries, tenders, and project activities.
- Handle invoicing, credit notes, and ongoing financial administration.
- Perform and quality-assure administration in the business system iScala.
- Create manuals, reports, and statistics for monitoring and improvement work.
- Relieve the Finance Coordinator with tasks related to month-end closing and financial monitoring.
Who We Are Looking For
- Have a post-secondary education in a relevant field.
- Have advanced knowledge of the Microsoft Office suite, especially Excel, Word, and PowerPoint.
- Have experience in administrative work, preferably within a project environment.
- Are fluent in Swedish and English, both verbally and in writing.
Merits
- Experience with project tools such as Jira or the business system iScala.
- Experience with Adobe Pro.
- Experience with financial administration and monitoring.
