We are now looking for a Document Controller/Registrar for a consultancy assignment with our client in Visby, where you will play a key role in handling and digitizing extensive archive materials.
About the Role
The background of this assignment is the decommissioning of several Swedish foreign missions, which means that large amounts of archive and document material need to be processed and re-registered in the organization's case management system.
You will become part of a Document Control team in Visby working on structuring, preparing, digitizing, and registering documents during a fixed-term period. The team currently consists of experienced colleagues with extensive knowledge in the field and will be further strengthened during the period with consultants and senior resources.

Your Responsibilities
In this role, you will among other things:
- Receive and handle large volumes of analog material
- Sort, structure, and prepare documents for scanning
- Scan and quality-assure digitized material
- Register documents in Public360, their diary and case management system
- Ensure correct metadata and document classification
- Perform quality checks on documents and registrations
- Archive and restore material after scanning if necessary
The work involves handling large document volumes and requires attention to detail and endurance in daily tasks.
We are looking for someone who
Has experience in administrative work, registrar duties, or similar document management. You are accustomed to working in a structured manner and preferably have previous experience handling large volumes of documents or registering cases in case management systems.
We would like you to have:
- Experience in administrative work or registrar duties
- Experience in document management, scanning, or digitization
- Experience working in diary or case management systems
- Strong ability to work in a structured and meticulous manner
It is an advantage if you have:
- Experience from the public sector
- Knowledge of the Public Access to Information and Secrecy Act
- Experience in archive and document management
- Experience with Public360

About the Employment
This is a consultancy assignment with employment through OIO. The assignment starts on September 1st and runs until December 31, 2026, with the possibility of extension.
What We Offer
- Scope: Full-time, 40 hours/week.
- Employment Type: Favorable consultancy agreement via OIO, with opportunities for extension.
- Working Hours: Office hours with some flexibility in Visby.
