We are looking for an Agenda Manager for a company in Stockholm. Start date is in May, initially for a 7-month fixed-term assignment with the possibility of extension. This role is 100% onsite in Stockholm.
We are looking for a person who, in the role of Agenda Manager, will provide operational, administrative, and proactive planning support to the Business Manager and the Business Department. The assignment aims to create structure, quality, and foresight in meetings, decision-making processes, and workshops, as well as to lead Business Planning and follow-up of the business plan together with the Business Manager. This role is central to ensuring that the right issues are handled at the right time and that meetings and activities are well-prepared, efficient, and follow-up capable. The individual needs to be structured, driven, and have good administrative skills with strategic insight, and be able to work independently.
Main areas of responsibility
Plan, structure, and coordinate agendas for meetings at the management and department levels
Ensure that meetings are well-prepared with the right materials, participants, and clear objectives
Support the Business Manager in prioritization, foresight, follow-up, and coordination of activities
Follow up on decisions, actions, and ensure documentation
Prepare materials and decision support documents in collaboration with the Business Manager
Assist in the planning and execution of workshops, conferences, and other events
Coordinate internal and external contacts related to meetings and events
Contribute to improved working methods for meeting structure and planning within the department
Competency requirements (must-have)
Good administrative skills and experience working in a structured manner
Very good knowledge of Microsoft Office, especially Outlook, PowerPoint, Word, and Excel (Co-pilot)
Experience with meeting planning, calendar management, and coordination of multiple parallel activities
Ability to communicate clearly and professionally in speech and writing in Swedish
Ability to work independently, take initiative, and drive tasks to completion
Desirable experience (nice-to-have)
Experience working closely with a manager or leadership function
Experience in planning and executing larger meetings, including material preparation
Experience from a consulting role or other support function in a knowledge-intensive organization
Basic understanding of decision-making processes and governance in larger organizations
Personal qualities
Structured and meticulous, with a good eye for detail
Driven, service-oriented, and solution-focused
Strategic insight
Good collaboration skills and confident in interacting with different roles and levels
Ability to handle changing circumstances and parallel tasks
Ego-free and professional in work approach
This role requires fluent skills in both Swedish and English.
This is a 100% consulting assignment via Incluso in Stockholm. Start date is in May, initially for a 7-month fixed-term assignment with the possibility of extension. This assignment is 100% on-site in Stockholm.
