About the company

We at Asta Agency are currently looking for a Business Coordinator to work on behalf of our client. The company operates in the tech and SaaS sector, encompassing several business units with its headquarters in Stockholm, where different functions collaborate closely. They are now seeking a Business Coordinator, which is a new role in the organization. About the role

This is a broad and varied role for you who thrive when you get to manage many administrative parts and be an important support function in the business. The role combines economic administration (25%), office management (25%), sales support (25%), and administration related to management and operations (25%). Since the position is new, there are great opportunities to influence and shape your areas of responsibility in the future.

You work closely with several functions in the company and have a central role in ensuring that daily operations run smoothly. Part of the assignment involves ensuring structure in everyday life, while other parts are more event-driven and arise based on the company's needs. You report to the CFO and will have a role with great breadth, many contact points, and good opportunities to influence and improve routines and working methods over time.

Key responsibilities:

  • Support management and other functions with administrative matters
  • Manage onboarding and offboarding processes and ensure that routines and checklists are followed
  • Communicate with suppliers and partners related to the office, and act as the face of the company during visits
  • Support the CFO in ongoing economic administration, such as invoicing, updates in financial systems, reconciliations, and work leading up to monthly closing
  • Responsible for the daily operation of the office, e.g., orders, mail handling, facility issues, and ensuring cleanliness and tidiness in common areas
  • Plan, coordinate, and assist with internal and external meetings, conferences, and activities together with those responsible
  • Provide administrative support within HR-related areas, e.g., follow-ups and compilations
  • Support the sales function with CRM administration, contract management, and documentation
  • Participate in improvement work related to routines, processes, and structure in the office
Qualifications and characteristics

Additionally, you have:

  • Post-secondary education in economics, administration, or another relevant field
  • Experience from a service-related, administrative, or coordinating work role
  • An interest and good understanding of numbers
  • Good computer literacy and experience working with digital tools
  • Very good knowledge of Swedish and English, both spoken and written
