About the Unit
The Administration and Communications Unit, with approximately eight employees under the Municipal Board's administration, plays a central role in the municipality. The unit supports administrations, the public, and elected officials, and is responsible for ensuring that the democratic process is secure and efficient. The assignment includes board administration, archives, registry, information management, case preparation, training, as well as investigation and operational development.
We are now looking for an Investigation Secretary to join our team.

Job Responsibilities
We are looking for an Investigation Secretary who wants to help develop and ensure quality in Herrljunga Municipality's case and information management. You will have a central role in the municipality's decision-making processes, work closely with political leadership, and have the opportunity to influence and develop working methods within both board administration and registry work.
In this role, you are a key person in the municipality's democratic process and work at the core of case management. You will serve as a board secretary for boards, committees, and/or other political bodies, providing professional and qualified support to elected officials, management, and case handlers. You are responsible for ensuring that the entire board process follows the unit's established routines and applicable legislation, from planning to follow-up. The assignment includes working with invitations and meeting administration, minute-taking, preparation and monitoring of cases, and quality assurance of decision-making materials.
A central part of the role is to serve as the main registrar. You will work both operationally and to develop working methods and quality in the registry, with a focus on secure handling of public documents from registration to archiving in the e-archive. Your tasks include, among other things, registration and handling of incoming documents, distribution of cases, handling of requests for public documents, and support in confidentiality assessments. You also inform, guide, and train the organization on issues related to document and information management.
In addition to the above tasks, other roles and assignments may occur depending on the needs of the operation.
Qualifications
We are looking for someone with a university degree in political science, law, public administration, or another relevant education, combined with work experience in the field. Alternatively, you have several years of qualified work experience as a secretary, registrar, or in a similar role that the employer deems equivalent.
You have good knowledge of the principle of public access and the laws governing public activities, such as the Freedom of the Press and Publicity Act, the Administrative Procedure Act, and the Local Government Act. It is an asset if you have experience working with document and case management systems.
You have good digital competence and feel secure working in administrative systems, and you find it easy to get up to speed with new tools and working methods. It is an asset if you have experience with the Ciceron document and case management system.
For us, it is crucial that you have a good understanding of the municipal decision-making process and can work independently in the role.
