About the HR Department

The HR department is responsible for driving the agency's employer policy and ensuring the agency's competence supply. This covers areas such as labor law and collective agreements, work environment, leadership and employee development, as well as competence development. HR supports managers and leadership teams in all types of HR-related matters. The HR department at Försäkringskassan is now seeking an engaged and senior administrative assistant. You will have several close colleagues, such as controllers, HR specialists, and business developers. Our approximately 200 employees are located mainly in Stockholm, Malmö, Gothenburg, and Östersund.

Documentation, Administration, and Collaboration

As an administrative assistant within the HR department, you will provide administrative support primarily to the HR Director, but also to other managers within the HR department, contributing to a smooth daily routine for the managers. In this role, it is important to have high integrity, be able to take your own initiatives for improvements, and work proactively.

You will assist the HR Director with calendar booking, meeting planning, meeting documentation, travel, and organizing conferences. In your work, you will handle invoices, purchases, procurement, access rights, registration (diarization), and document management. You will collaborate with other administrative assistants within the agency and serve as a contact person for other operations both internally and externally.

  • have a final grade from upper secondary school or experience and qualifications that can be deemed equivalent
  • have a systematic and meticulous working method
  • collaborate effectively with others to achieve common goals
  • have good communication skills, both verbally and in writing
  • act on your own initiative and take responsibility for achieving good results
  • are secure and inspiring, even in stressful situations
  • quickly identify problems and solve them in a relevant way.

It is an advantage if you:

  • have experience providing administrative support to people in leading positions
  • have good knowledge of Försäkringskassan's organization and administrative systems
  • have experience of trade union cooperation
  • have knowledge of the Administrative Procedure Act
  • have experience with digital registration and case management systems
  • have experience working in invoice management systems
  • have good knowledge of the Office package.

Other Information

1 position, permanent, full-time, with start date according to agreement. A probationary period may apply. In accordance with Försäkringskassan's security guidelines, background checks are conducted in this recruitment. The possibility of remote work exists if the work allows.
