Coordinator to the Rector at Stockholm University

The Management Secretariat at Stockholm University, together with the Planning Secretariat and the Legal Secretariat, forms the Rector's Office. The Secretariat consists of over 20 employees. The Management Secretariat's overarching mission is to provide direct support to the university leadership in both operational management-related and university-wide strategic issues.

We are now seeking a Coordinator to the Rector with the main task of assisting the university's rector in daily work, and in certain matters also the rest of the university leadership.

Responsibilities

As a Coordinator to the Rector, you will be part of a team with one additional assistant. Your main responsibilities will include:

  • Coordinating, handling cases, and assisting in the Rector's daily planning.
  • Monitoring and managing the Rector's email, calendar bookings, and meeting and travel planning.
  • Independently drafting and conducting correspondence in both Swedish and English.
  • Organizing the Rector's dean meetings, weekly meetings, etc.
  • Receiving visitors and assisting the Rector in various representative contexts, both national and international.
  • Working on press-related issues in close collaboration with the Communications Department.
  • Monitoring and staying updated on current issues both within the university and related to the higher education sector.

The responsibilities may also include other tasks common within the department.

Qualifications

We are looking for someone who has:

  • A university degree at least at the bachelor's level.
  • Several years of current experience in administrative coordination and coordination in an academic environment.
  • Several years of current experience working in a central administration of a university or college.
  • Practical experience of tasks that have provided good knowledge of education and research.
  • Experience of working in an international context.
  • Very good administrative skills, including extensive digital proficiency.
  • Experience of English as a working language and very good language skills.
  • Very good ability to express yourself independently in speech and writing.

Merits include:

  • Additional good language skills, beyond English and Swedish.
  • Experience of working at the departmental level as well.

The role of Coordinator to the Rector places high demands on personal integrity, flexibility, and responsiveness. To thrive in the role, you need high social competence and the ability to build good relationships. You need to be able to work independently as well as in a group, proactively and structured to deliver work results of high quality to your client. You also need to be stable in stressful situations, be able to make independent assessments in complex issues, and have good prioritization skills. Great importance will be attached to personal suitability.

About the Employment

The employment is permanent, full-time, with a six-month probation period. Stockholm University applies individual salary setting. Start date according to agreement.
