SciBase is a global medical technology company in skin diagnostics that develops, produces, and sells medical technology products specializing in early detection and preventive measures for skin cancer, among other things.

SciBase works to improve early detection and prevention of skin diseases. Our product Nevisense is a unique tool that combines smart technology and advanced measurement methods to help healthcare providers make more accurate diagnoses.

About the role

As an Office Coordinator, you are responsible for ensuring that our office operates daily, both practically and administratively. You create the conditions for our employees to work effectively and enjoy their jobs. You will be a central point of contact in the organization and work closely with both internal teams and external suppliers.

Your main responsibilities

Office & daily operations

· Ensure that the office is well-functioning and representative

· Be responsible for office supplies and consumables

· Handle mail, deliveries, and shipments (e.g., via UPS)

· Coordinate purchases of snacks, lunch, and other common needs

· Ensure that printers, telephony, and equipment are functioning

· Order computers and accessories and coordinate with suppliers

· Ensure that meeting rooms and workspaces maintain high standards

Facilities & work environment

· Be the contact person for landlords and suppliers

· Be responsible for office layout and changes in premises

· Ensure a pleasant, welcoming, and functional work environment

· Manage access cards and entry

· Follow up on safety routines related to the office

Support to the organization

· Send materials to the sales team and events (e.g., congresses)

· Book travel and coordinate travel arrangements

· Support onboarding of new employees

· Provide administrative support in recruitment processes (e.g., scheduling interviews)

· Plan and coordinate internal activities such as kick-offs, summer and Christmas parties, and other social initiatives

We are looking for someone who:

Is service-oriented and solution-focused and has a structured and organized work approach. Enjoys working independently and taking initiative. Is flexible, social, and communicative.

Why this role?

In this role, you will have significant responsibility and a key role in the organization, as well as a variety of tasks - from structure to culture. The role is part-time at 50%, and working days may vary as needed.
