About the Department

The Operations Planning Department (OPL) J5 is located at the Armed Forces Headquarters in Stockholm. OPL leads the Armed Forces' operations and missions both nationally and internationally. We are now looking for a Coordinator who will work to support the administrative coordination of the department's work. The position involves being a support for the department's leaders as well as the rest of the department in daily operations. The work is carried out both independently and in groups with varying time demands on delivery.

Main Responsibilities

The position involves a broad administrative and coordinating responsibility with the task of creating structure, continuity, and functioning support processes within the organization. The position serves as a central support function with contact points to several parts of the organization and contributes to ensuring effective information flows, clear administrative routines, and practical conditions for the implementation of operations, planning, and personnel management.

The position includes, among other things:

• Interim acknowledgment, registration, and distribution of incoming documents
• Administration of permissions and roles in operational systems (e.g., ISUS, BICES, SWECCIS, VIDAR)
• Support during recruitment, summons of reserve officers/volunteers, and personnel changes
• Ordering and inventorying IT equipment and other purchases
• Documentation and practical support during planning, training, and meetings

REQUIREMENTS

Qualifications

• Current and relevant experience with the Armed Forces' IT systems
• Approved secondary education
• You have a good ability to express yourself verbally and in writing in both Swedish and English
• You have good knowledge of the Office suite

• Current and relevant work experience in similar tasks within the Armed Forces
• Completed GMU or basic training with conscription in the Swedish Armed Forces.
• Experience working with executive support
• Driver's license (B)

Employment type: Civil employment, temporary (12 months).

The position involves some business travel and participation in exercises.

Evening and weekend work may occur.
