The Total Defence Research Institute (FOI) is a government agency conducting world-leading research in defense and security to support Sweden's military and civil defense. The research spans several areas, including underwater, cyber defense, space, electronic warfare, sensor systems, civil defense, CBRNe (chemical, biological, radiological, nuclear, and explosive substances), military platforms including weapons and protection, as well as security policy analyses. FOI's research plays a key role in building Sweden's defense capability.

About the position
The Total Defence Research Institute (FOI) is in a strong growth phase and we are now looking for a registrar to complement our team! In the role of registrar, you will handle the agency's public documents. You will be responsible for mail opening, allocation, registration, archiving of completed cases, and the release of public documents. You will conduct quality assurance of recorded documents and cases to ensure that the information is correct and complete. A significant part of the job involves working with classified documents, and Sweden's new role as a NATO member imposes additional requirements on our document management. The role also includes the ability to train and support employees and managers on issues related to FOI's case and document management as well as transparency and confidentiality. You will be part of a team with registrars, document controllers, and archivists who together work with and develop FOI's document management and information governance in various projects. Travel to our operational locations in Linköping, Umeå, and Grindsjön may occur.
About the unit
You will be part of the Information Management section within the Legal Unit, which belongs to the Research Support department. Within the section, archivists, registrars, document controllers, and a section manager work. The section currently consists of 10 employees. The section is located in Kista.
FOI has four locations: Stockholm-Kista, Umeå, Stockholm-Grindsjön, and Linköping. Please read more here about the Research Support department.
Do you have the competency profile we need?
Requirements
We are looking for someone who has:
- a relevant registrar or archivist education or other comparable competence acquired through work experience that FOI assesses as equivalent,
- documented knowledge of the laws and regulations governing document management within public administration, including transparency and confidentiality legislation,
- several years of current experience in information management where the work has included both record-keeping, case management, and archiving,
- experience in conducting development work within information management,
- good ability to express yourself verbally and in writing, in both Swedish and English.

You are expected to act in accordance with decisions, operational plans, goals, and guidelines. Good collaboration and clear communication with colleagues are necessary. You are expected to take responsibility for your tasks and drive processes forward in a structured and efficient manner. As a registrar, you work with a good sense of service and have an interest in supporting others, while also having the will and ability to deliver solutions.

Meritorious
It is an advantage if you have:
- experience working with security-classified documents,
- worked at an agency under the Ministry of Defence,
- worked in the case management system Platina.

The position is a permanent employment that may begin with a six-month probationary period.
