Administrative Secretary to the Community Planning Administration

The Community Planning Administration has a broad area of responsibility and is involved in many parts of the entire municipal operation. The administration consists of the units Property, Planning/Building, Street/Park, Operations/Water and Cost Unit.

JOB RESPONSIBILITIES
The responsibilities of the administrative secretary are multifaceted and varied.
You will be responsible for the political case management in two committees, the Community Planning Committee and the Building and Traffic Committee. This means planning meetings, preparing materials for political decisions, compiling invitations and meeting documents, and writing minutes. The handling of political matters is digitized, and work is done using the municipality's shared document and case management system, Ciceron. An important task will also be to, together with others, develop processes and routines to ensure high quality in political case management.
In addition to committee administration, you will be responsible for registering and filing incoming cases and will be the archive manager. You will work broadly with the administration of the department in areas such as finance, personnel, and Web/IT. The administrative secretary is also the secretary in the management group of the department and the community planning forum.
You will be part of the municipality's secretary network, and in the role of administrative secretary, you will be consulted on various issues by both elected officials and civil servants.
The role also includes certain coordination and processing tasks.
QUALIFICATIONS
We are looking for someone with relevant higher education for the position, for example, in public administration or other education/experience that the employer assesses as equivalent.
We prefer that you have work experience that includes knowledge of municipal and administrative law. Experience with similar tasks and experience working in a politically governed organization is advantageous.
The work requires a responsible and structured approach, attention to detail, and enjoyment of varied administrative tasks. Flexibility and a sense of service are valuable qualities in the job.
You also need to have good collaboration skills since the administrative processes involve a large number of people. You should also have good computer skills and experience working in administrative IT systems, as well as a well-developed written and verbal communication ability.
