Our Operations

At Akademiska Sjukhuset, you help create the conditions for healthcare to function effectively every day. Within the administrative service unit, we work closely with the hospital's management and are responsible for management and operational support as well as overarching issues within administration. We are about ten employees who together ensure that the processes maintain high quality and support the organization's goals.

This is an opportunity for you who want to help develop administrative methods in a complex and socially important operation.

Your Assignment

In the role of management administrator, you will work with two main areas: You will be responsible for our reception and service on the floor, and you will provide management support to certain managers.

Reception and Service

The job includes providing service to visitors and employees on the floor. You keep track of what is happening and ensure that the premises are in good condition. You handle, for example:

  • Visitor reception and room bookings
  • Orders, deliveries, and invoice management
  • Questions regarding our premises and equipment
  • Administration regarding the introduction and termination of employees on the floor
  • Phone, email, and mail handling as well as record-keeping.

The floor's reception is staffed in the mornings. As much as possible, you stay one step ahead and ensure that everything runs as smoothly as possible. For larger meetings and visits, you know what is needed and handle administrative and practical matters.

Management Support

As a management administrator, you support certain directors and managers. The role includes:

  • Assisting with administrative tasks, such as meeting bookings, case management, personnel and financial administration.
  • Preparing meetings by producing and quality assuring invitations, agendas, and materials.
  • Participating in meetings as needed, taking notes, and ensuring that action points are documented.
  • Finalizing and distributing meeting documentation and updating planning and action lists.
  • Ad-hoc tasks as needed, such as urgent issues requiring reprioritization and handling.
  • Collaborating with other administrators in the team regarding management support.

Within the unit, there are several administrator roles, and you plan the work together to handle peaks and absences. You are curious about new tasks and digital tools and want to contribute to developing our methods and routines. The role involves many points of contact and requires you to be flexible, solution-oriented, take initiative, and work in a structured manner.

Your Qualifications

  • At least a high school education, preferably post-secondary administrative education.
  • Experience in qualified management support is a requirement.
  • Good knowledge of Microsoft 365 and record-keeping systems (we use Public 360).
  • Experience from administrative work in public operations is an advantage.

Your Competence

We are looking for someone who easily adapts to changing circumstances, is self-driven. You plan and prioritize your work effectively. You work well with others and have an interest, willingness, and ability to help others.
