Faculty Administrator at Uppsala University
Do you want to work with qualified case management and operational support in an academic environment with high demands on quality and legal security? Welcome to apply for the position of Faculty Administrator at Uppsala University.
The Office for Technology and Natural Sciences consists of approximately 60 employees and is organized into five units. This position is located in the unit for operational and management support. The unit, like the office as a whole, is part of the university administration but receives most of its assignments through the faculty board.
The unit is responsible for operational and management support in areas such as employment and promotion matters, equal treatment and safety issues, handling of referrals, operational planning, budgeting, and follow-up. The unit also processes cases at the faculty level directed towards institutions, the faculty's preparatory and decision-making bodies, and management within the faculty. In addition, the unit's mission includes collaborating with other departments within the university administration in the preparation of cases and participating in investigations and referrals at the university-wide level.
Job Responsibilities
We are looking for someone who wants to work with both qualified case management and administrative support in matters at the faculty and university level. A large part of the work takes place within the framework of clear formal processes and requires good structure as well as the ability to work independently in close collaboration with colleagues and various levels within the organization.
The role includes, among other things:
- handling and coordination of referrals
- administration and management of foundations, scholarships, and awards in accordance with applicable regulations
- secretarial support in committees and boards, including preparation of cases, meeting planning, minute-taking, and dispatch of decisions
- doctoral education administration
- record-keeping and other ongoing administrative processing
Other tasks at the office may also occur.
Qualifications
We are looking for someone who has:
- a university degree or equivalent competence that the employer deems relevant
- at least a couple of years of experience in qualified administrative case management, with independent responsibility for cases
- experience in work that has involved the preparation and formulation of written materials in Swedish, such as decision materials, statements, or minutes
- experience in administrative work within public administration
- good knowledge of the Office suite
- good knowledge of Swedish and English
Great emphasis will be placed on personal suitability. You are structured, responsible, and confident in your role as a case manager. You are comfortable making your own assessments within given frameworks and take responsibility for ensuring that cases are processed correctly and efficiently. You have a good ability to independently formulate factual and legally correct texts in Swedish. You have good collaboration skills and work service-oriented and consultatively in contact with the management of the scientific area, institutions, and employees of the university administration. You need to be able to handle work peaks and work on multiple cases simultaneously.
Desirable/meritorious qualifications
It is meritorious if you have:
- experience in qualified administrative work within a university, college, or other government agency
- experience in handling referrals, meeting administration, or foundation management
- knowledge of foundation legislation
- experience in doctoral education administration
