Our operations

The Planning and Finance function has an overarching responsibility for the governance of the agency and works closely with the agency's managers. We work to improve and clarify the overall governance of the agency, regarding economy, operations, and quality. Operational planning, follow-up, and reporting as well as the agency's strategic planning fall within our area of responsibility. We also work with financial reporting, procurement, and purchasing. Additionally, we are tasked with managing and developing internal governance and control, including the agency-wide management system for operational governance and the common risk management of the agency.

Your tasks

As an administrator, you will have a varied job focusing on providing qualified administrative support to the Planning and Finance Director. A central part of the role involves preparing and quality-assuring materials for presentation and decisions by the agency's Director General and Board. The position also includes supporting the function as a whole by independently and proactively managing administrative tasks based on needs. This may involve:

  • supporting the agency's quality manager
  • being the document responsible in the agency-wide management system for operational governance
  • supporting the updating and creation of governing documents
  • supporting in document management of processes
  • being the function's super user in the agency's document management system
  • assisting before and during function meetings and management group meetings
  • administration of supplier contracts
  • taking minutes at meetings
  • managing calendar bookings

You should also be prepared for new tasks that may need to be solved at short notice.

Your background

We are looking for someone who has:

  • Many years of experience in independent administrative work in public operations
  • Experience with document management systems such as Documentum
  • Very good knowledge of Swedish, both spoken and written

It is advantageous if you have:

  • Experience working with the development of relevant tasks for the position
  • Experience with quality management systems such as ISO9001 or equivalent
  • Knowledge of relevant IT systems and new technologies such as AI

To succeed in the role, you have good collaboration skills, good planning ability, and understand the importance of ongoing, proactive administration. You are structured, orderly, solution-oriented, and make things happen. You have high integrity and a positive attitude, and you are flexible. We place great emphasis on personal qualities.
