to apply for the job
We are looking for someone who thrives in an outgoing role with many contact points. You are the spider in the web between patients, psychologists, doctors, and nurses, and you have a good eye for structure, service, and collaboration. The role gives you the opportunity to combine administrative tasks with service, development, and communication. You will play a key role in the patient journey with us. This means you need to be able to meet people in emotionally challenging situations with empathy and security, and be their first contact in meeting us. Therefore, we see it as an advantage if you have an interest in, and preferably experience with, psychology and health. However, the right person is absolutely the most important.
Who we are
Svea KBT and Elly Care are two of Sweden's largest psychology companies with psychologists, doctors, and nurses who are incredibly competent, skilled, and dedicated. We work with therapy, medical treatment, neuropsychiatric assessments, occupational health, training, and supervision. Behind the scenes, there is an operations team working to improve everything every day. With us, everyone has broad roles with varying days.
We place great value on our internal culture where we work solution-oriented, without prestige, and together as a team. The organization is flat, and we believe in the principle that the best idea always wins, regardless of role or title. We are engaged, flexible, and take great responsibility. There is no prestige here, but rather more heart and competence, with a common goal of helping more people feel better.
Main Responsibilities
Respond to incoming patient inquiries via our switchboard
Handle patient cases and inquiries via email and chat
Coordinate and plan assessments together with patients
Support our psychologists in their daily work
Drive development projects related to your daily work
Be responsible for the well-being in your office, organize after-work events, breakfast
Qualifications
Good social and communication skills in writing and speaking
Fluent in Swedish and English
Good technical knowledge
Previous experience in service is an advantage
Previous experience in healthcare is an advantage

Example of a typical day in our customer service team
08.00: You arrive, make coffee, and ensure the waiting room looks nice. You greet your colleagues and go through the day's schedule. Today, an intern will sit in on the switchboard calls - fun to train someone!
09.00: The phone rings off the hook, emails come in, someone walks in the door unsure if they have come to the right place - you handle everything with a smile and ensure that each person receives the right information and help.
10.30: A doctor is missing materials for a patient meeting - you find it and take the opportunity to adjust the folder structure and booking routines so that the same problem does not occur again.
12.00: Lunch, preferably with some colleagues on the patio where you both laugh and bounce exciting ideas.
13.00: Meeting with Management. You have compiled new, exciting ideas to improve part of customer service and share them with management enthusiastically.
14.00: Management said go for it! So now you take calls but also start all the creative things you’ve been thinking about, and look forward to creating all the new and improved routines.
15.00: You skillfully switch between your inbox, internal support management, and switchboard phone. You guide both patients and colleagues to the right help, and if you feel uncertain, you ask your closest colleague. You clarify the job description so everyone is clear next time the question arises.
16.00: You review tomorrow's schedule, send reminders, and leave a note on a colleague's desk about a patient you promised to follow up with tomorrow morning.
17.00: You log out feeling like you were the anchor of the day - and perhaps the first reason someone feels welcome with us.
Voice from the team, Agnes, Coordinator:
”I really enjoy my job as I get to meet people every day and be a support, sometimes even their first safe contact when life feels most chaotic. Being able to make someone feel a little less alone means so much to me and makes me proud of what I do. And above all, I feel SO good in our little team! We spread warmth, laugh a lot, and do everything we can to facilitate both for each other and for our patients!”
