At Knightec Group, we believe that we create the most and best development together when we meet. Therefore, we are developing our offices into meeting places where employees, customers, partners, and candidates can gather. Soon, our Office Coordinator will go on parental leave, and we are now looking for a substitute for just over a year. A substitute who will play a crucial role in creating memorable experiences at our meeting place in Solna.
Who we are looking forWe are looking for a bundle of energy who wants to take full responsibility for the physical experience of Knightec in meetings with our stakeholders, both regarding function, work environment, expression, and feeling in the office and related channels. You are driven by providing world-class service and believe that the best thing is to make others feel comfortable and happy. You are passionate about making an excellent first impression and creating an office experience that leaves lasting memories.
You have several years of experience in service where you have had many different points of contact and have made a difference. As a person, you are driven, engaged, and innovative, and you enjoy coming up with various activities that brighten the day for your colleagues. Furthermore, you are responsible, structured, curious, and independent, while also enjoying collaborating with others and being the one who knows what is happening and what needs to be done. You have an eye for detail and a natural talent for working proactively and thinking one step ahead.
If you have previously been responsible for a vibrant office environment with many activities where you gained experience in welcoming visitors, assisting colleagues, and managing supplier contacts, it is a plus.
The environment you will be working in is multicultural, which places high demands on your ability to communicate in both Swedish and English, both spoken and written, as well as handling questions that require confidentiality professionally.
As an Office Coordinator, you actively strengthen our employer brand by constantly acting as an ambassador and creating a meeting place where people really want to work and where our customers are happy to hold their meetings. You actively share information about activities and events both internally and on social media.
Your most important point of contact will be the leaders in Solna, as what you do should facilitate their work with customer and employee development. In your daily work, you will work closely with another colleague whose focus is on premises and events. Together, you will develop our meeting place of 1500 square meters into a place where everyone wants to be and ensure that the 150 workstations are utilized to the maximum, among other things by organizing cool activities that make others say, “wow, I want to be part of this” and “oh, I want to work here.” For inspiration and support, there is a corresponding function at our other offices around the country.
A typical day at work consists of alternating between the tasks above as well as preparing for various meetings and activities, managing orders and purchases, some administration, phone handling, welcoming visitors, and assisting colleagues with various questions.
