The City Property Management creates environments where life can thrive by planning, building, renting, managing, and developing premises and outdoor environments for the City of Gothenburg's operations. Every day, hundreds of thousands of Gothenburg residents are active in preschools, schools, care facilities, and other premises that we manage.
Together with the City Environment Administration, the Exploitation Administration, and the City Planning Administration, we have a coordinated responsibility for urban development in the City of Gothenburg. This entails a shared distribution of responsibilities and roles based on stages: planning; implementation; and management, with the goal of contributing to a cohesive, efficient, and transparent urban development for residents, visitors, and businesses in the city.
JOB RESPONSIBILITIES
The construction operations are part of the maintenance and operations department. Its units are responsible for planning, implementation, and follow-up of supervision, maintenance, and repairs related to property management. The assignment also includes orders from clients and maintenance/investment tasks. The operations are responsible for annual operational rounds, including SBA in their own properties, and handle minor damages.
We are now looking for a Coordinator for a 6-month temporary position.
The role consists of both coordinating and administrative tasks. It is a broad role where you move between different levels in the organization and serve as the natural link between them.
You coordinate projects and activities by preparing materials and presentations for meetings, assisting with meeting bookings, creating reports or other types of documents, following up on deadlines and action plans, and communicating about activities and decisions. Sometimes you will independently organize joint activities, such as training initiatives and internal events.
Your administrative tasks involve navigating various systems and include:
- Responsibility for contract follow-up
- Administrative support to managers in planning, prioritizing, and executing administrative tasks.
- To some extent, analysis of key figures and finances to support operational follow-up and development.
QUALIFICATIONS
To be successful in this role, you have a higher education in public administration, political science, or economics. You need previous experience in similar tasks, and it is advantageous if you have experience in property maintenance and operations, as well as if you have previously worked in a politically governed organization.
You should be accustomed to using IT tools in your work, such as Xpand, Pythagoras, Office Suite, Proceedo, and Antura.
It is important that you have a holistic view to understand the conditions and needs at different levels of the organization. You can adapt your communication based on your message and who you are speaking to. We also see that you are structured enough to handle many different tasks and deadlines simultaneously. To thrive in this role, you also need to be flexible.
