ABOUT THE POSITION

In the role of office assistant at Triathlon Group, you are the central link that ensures the office runs efficiently and with a high level of service. You will staff the reception, greet and welcome visitors, and handle incoming and outgoing mail. You are responsible for ensuring that conference rooms and kitchen areas are always in top condition, manage the purchase of supplies, and maintain an ongoing dialogue with suppliers.

You will assist the management team with administrative tasks such as receipt management, document preparation, and gift purchases. The role also includes responsibility for planning and executing the company's internal and external events – from wellness activities to client arrangements – ensuring that everything runs smoothly from start to finish. Additionally, you will handle invoices and ensure that financial processes function correctly and on time.

YOUR PROFILE

  • Experience in administrative work, preferably as an office assistant or similar role is required.
  • Good knowledge of the Office suite (Word, Excel, PowerPoint).
  • Familiarity with handling incoming calls, emails, and visitors.
  • Structured and meticulous with the ability to prioritize and manage multiple tasks simultaneously.
  • Service-oriented with a positive attitude and good communication skills.
  • Self-motivated and proactive, with the ability to take initiative.
  • Possesses a positive attitude, is humble, flexible, and unpretentious. A role model, simply put.
  • Enjoys working in a team and continuously developing.
  • Experience in scheduling meetings, managing calendars, and coordinating events is a plus.
  • Responsible for conference rooms and refreshments in the office.
  • Distributing access cards.
  • Fluent in Swedish and proficient in English, both spoken and written.

We are looking for someone who is service-oriented, structured, and has a keen eye for detail. You thrive in the role of the spider in the web and have a natural ability to create order and structure. You are self-sufficient, take initiative, and take responsibility when needed. Previous experience in office administration, reception, or similar tasks is a requirement.

You have a professional demeanor, are skilled at handling multiple tasks simultaneously, and can quickly adapt to new situations. Good knowledge of Swedish and English, both spoken and written, as well as experience with the Office suite is advantageous.
