Job Responsibilities

As an Executive Support Officer (Case Manager) in the Probation Service Helsingborg area, you will work closely with the management group and support managers in various ongoing processes. The area has probation offices in Helsingborg, Kristianstad, and Karlskrona, which involves regular business travel between these locations. The place of work will be determined in connection with the completion of the recruitment process. There are opportunities to adapt the place of work based on your conditions with the organization's needs in focus.

You support the Head of Probation in achieving the organization's goals, maintaining a good work environment, and enabling visible leadership. At the same time, you actively work to provide employees with the right conditions, clarity, and support in their daily work. You also assist the Probation Inspectors (first-line managers) with qualified strategic and operational executive support, as well as the coordination of overarching processes for the area through follow-up, investigation, case processing, and administration. An Executive Support Officer already works in the area, and you will work closely with this colleague to ensure coordinated, efficient, and uniform support for the operations.

The tasks include diary registration and data entry in administrative support systems, as well as archiving, case monitoring, digital mail handling, ordering, purchasing, and invoice processing. As an Executive Support Officer with us, you will work broadly and in depth with the management's steering and follow-up processes. The work may therefore cover several areas such as HR, organization, operational content, and communication. You will also work with personnel administration, including supporting managers in the personnel administration system, creating materials for employment contracts, handling personnel files, generating statistics, and conducting contract checks. Furthermore, you will assist in various ways in the recruitment process.

Qualifications

You are the contact person and face of the area towards many external actors, which places high demands on your ability to collaborate, maintain a high service level, and possess good social competence. As a person, you are meticulous and work in a structured manner, and can handle and be responsible for several processes simultaneously on your own.

We are looking for you who has:

• An academic education in a subject area relevant to the position, preferably in personnel science or behavioral science, or alternatively other education combined with experience that the Swedish Prison and Probation Service deems relevant
• Experience in administrative work
• Good knowledge of Swedish in speech and writing
• Good computer skills

It is an advantage if you have:

• Experience within the Swedish Prison and Probation Service and good insight into our work and processes
• Current experience with the systems Heroma and/or Proceedo
• Experience in diary registration and archive management
• Experience in personnel administration
• Experience in personnel planning
