About the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will become safer and more secure for everyone. We are the agency responsible for prisons, probation services, remand prisons, and client transport.

The Swedish Prison and Probation Service Region Mid has operations in Södermanland, Västmanland, Uppland, Värmland, and Närke. The Probation Service Mälardalen area consists of probation offices in Nyköping, Västerås, Uppsala, and Eskilstuna. We are now looking for an Administrator based in Nyköping, where the probation office is centrally located, covering the Södermanland region with 7 municipalities.

Job Description

As an administrator, you will be part of a team of two administrators. The administrator team is primarily responsible for registration in the client administrative systems, which may include registering and processing decisions and personal investigations based on the probation service's role in the legal chain. You are responsible for archives, mail handling, orders, economic administration, and common administrative tasks, and you provide administrative support to both managers and colleagues. The work also includes staffing the reception to some extent, which plays an important role in preventive security work by managing office access to the visitation area. You are responsible for receiving clients, ensuring cases are checked, and clarifying client permits before allowing entry to our premises. This is to ensure that unknown or impaired persons are not admitted to our facilities as much as possible. Through the reception and office, you represent the Swedish Prison and Probation Service with a trustworthy and correct attitude towards clients, partners, and the public. The tasks require you to ensure confidentiality is maintained while being aware of the principle of public access.

Qualifications

The role of administrator is a service function for all employees at the workplace, which places high demands on you being service-oriented. You are calm and confident in yourself and can handle stressful situations well. Furthermore, you have the ability to plan, organize, and prioritize work effectively so that important tasks are maintained. You are also flexible and thus easily adapt to changed circumstances and see solutions in emerging situations. Your teamwork skills are very good, and you therefore find it easy to build relationships. You can take responsibility for your tasks, independently driving your processes forward. We assume you have good IT skills and a well-developed administrative ability.

We are looking for someone who has:

• Completed upper secondary education (final grades or high school diploma)
• Current experience of administrative work within public administration
• Good computer skills
• Good knowledge of the Swedish language in both speech and writing

It is meritorious if you have:

• Current experience of administrative work within a state agency
• Current experience of economic administration
• Experience of case processing according to the Administrative Procedure Act
• Current experience of working with archives and document management
