As a Meeting Coordinator, you are at the center of the action – a host, facilitator, and match-maker who helps people thrive, connect, and take the next step.

Your responsibilities

The role of coordinator is varied and combines hosting, coordination, administration, relationship building, and culture development. You are a central part of the daily operations and serve as the natural first point of contact for visitors, participants, and partners.

In this role, you will:

  • Staff the reception and create a welcoming, professional, and vibrant environment.
  • Receive visitors and support them with practical daily questions.
  • Coordinate activities such as breakfast meetings, workshops, networking events, and other gatherings.
  • Handle bookings, participant lists, basic administration, and follow-ups.
  • Contribute to structure and quality in daily operations.
  • Actively work with matchmaking – connecting people, ideas, and businesses.

An important part of the role is being present in the building and building relationships. You identify needs, see opportunities, and initiate contacts – both spontaneously in daily life and in a more long-term perspective.

The work week is dynamic, alternating between operational tasks, meetings, events, and relationship building. You need to be able to prioritize, adapt, and maintain quality in every interaction.

Your qualifications

We are looking for you who have experience in roles where service, hosting, coordination, and relationship building have been central. You are confident in meeting many different people and have the ability to create both structure and a positive experience in interactions.

Requirements:

  • Several years of experience from roles where service, hosting, coordination, and relationship building have been central.
  • Experience in meeting many different types of people in professional settings and creating safety, energy, and structure in interactions.
  • Experience in coordinating activities, meetings, or events, including practical details such as bookings, participant management, venues, technology, and follow-up.
  • Ability to work independently, take initiative, and solve problems.
  • Good digital skills and the ability to quickly learn new systems and tools.
  • High school education or equivalent.
  • Very good Swedish and good English in speech and writing.

Meritorious:

  • Experience from innovation environments, science parks, academia, or business-related activities.
  • Experience in matchmaking, networking, or community management.
  • Post-secondary education in areas such as service, events, project management, or similar.
  • Experience with booking systems, CRM, and/or event tools.

Personal competencies:

To succeed in the role, you actively build relationships and naturally see how people and businesses can be connected. You collaborate closely with others, share information, and contribute to creating a functioning whole. In interactions with others, you are service-oriented, attentive to needs, and adapt your approach to create a positive experience. At the same time, you are flexible and can switch between planned tasks and unexpected situations without losing structure or focus.
