Our Mission

At the national department Support and Matching, we provide remote service and support to job seekers. We work with several important areas of responsibility such as matching, guidance and counseling, as well as decisions on measures for job seekers. Our main mission is to reduce the time spent in unemployment.

Job Description

As an administrator here, you have overall responsibility for the unit's administrative processes. The role involves independently handling diary registration and entry in ELIN, managing SharePoint pages, and staffing functional email boxes. You serve as close support to the section's managers and work together with the executive assistant regarding orders, local bookings, permission management (AIS), and personnel administrative tasks in Heroma. Good collaboration skills are important as you work in a team with other administrators within Support and Matching across the country on shared tasks.

The work also includes proactively establishing administrative routines, informing new employees about our processes, and ensuring good governance and legal security in everything we do. You are also expected to cover for the executive assistant during absence.

Your main tasks:

  • Case Management: responsibility for the diary, mail handling, and functional email boxes.
  • Operational Support: handling permissions, email lists, meeting minutes, and booking of conferences/rooms.
  • Development: proactive work with JK lists, SharePoint management, and creating new administrative routines.
  • Collaboration: close cooperation with the executive assistant and support to employees regarding questions about registration and document handling.

The position is a permanent full-time employment that may begin with a six-month probationary period. Start date by agreement. Location is Malmö or Helsingborg.

Basic Requirements for the Position

  • Approved upper secondary education or experience as an administrator at the Swedish Public Employment Service.
  • At least two years of work experience in administrative tasks.
  • Very good computer skills, primarily within MS Office.
  • Experience of administrative work within the public sector.
  • Experience working as close support to managers.
  • Very good ability to communicate in Swedish, both orally and in writing, as well as good reading comprehension.

Other Merits for the Position

  • Experience with diary registration, document handling, minute taking, and SharePoint.
  • Worked as an administrator/executive assistant within the public sector.

You need to have good communicative and pedagogical skills to be able to guide colleagues in administrative routines.
