Workplace Description
The position is located at the Department of Industrial and Mechanical Engineering at Lund University. The workplace is situated in Lund's northern university area on the LTH campus, in the middle of a creative study and research environment. The department conducts research and education in mechanical engineering, materials technology, and industrial engineering. The department is divided into four divisions: Industrial Production, Mechanics, Materials and Component Design, Production Economics, and Technical Logistics. We have around 60 employees with various functions and competencies. We place great emphasis on sharing and learning from each other. Together with two other colleagues, the HR Administrator forms the administrative support for the operations.
Job Responsibilities
We are looking for you who enjoy administration and providing good service! We offer you an important role in a dynamic environment where you, together with engaged colleagues, contribute to an attractive educational and research environment and a good working environment. You work with HR administration in a small team of administrators with different main tasks, but with the ability to support each other for continuous service to the operations. You feel engagement and joy in providing service to the operations and working in close collaboration with the department's employees and managers. You will also collaborate with colleagues at other organizational levels within the university. The tasks may change over time based on operational needs. The tasks include, but are not limited to:
- Processing recruitment cases in Varbi such as research assistants, doctoral students, and postdocs, as well as handling intermittent employment.
- Administrative support in the recruitment of higher positions.
- Administrative support in migration cases (reception agreements, admission certificates, etc.).
- Extension or termination of services on an ongoing basis.
- Ongoing follow-up of sick leave and annual follow-up of the holiday list.
- Source reporting and auditing in the payroll system Primula.
- Responsible for the department's personnel catalog, updating new employees, and handling guests.
- Registrar for ongoing case filing (W3D3).
- Coordination of meetings, events, etc.
- Certain economic management and follow-up in collaboration with the department's economist.
- Participation in LTH's HR-administrative network.
- Occasional contact with various support functions and departments within LU/LTH.
- Occasional service to the department's staff.
Qualifications
The requirements for the position are:
- Experience from a government agency or other public sector.
- Relevant higher education/university education.
- Good administrative skills.
- Good experience of HR administration.
- Experience with various personnel administrative systems and the ability to easily adapt to new systems.
- Fluent Swedish and good English in speech and writing, as we operate in an international environment.
- Ability to work both independently and in collaboration with the department's employees.
- Ability to structure, organize, and prioritize tasks.
- Ability to communicate and provide professional service.
We place great emphasis on personal qualities and value the ability to collaborate, as the work requires active teamwork. The work is sometimes intense, which means one must be able to prioritize between different tasks. You are structured and quality-conscious, and you appreciate and have experience of outward-facing and service-oriented work. Drive and independence will also be taken into account, as well as how the applicant is assessed to complement and strengthen the administrative team within the department through their experience and competence.
Qualifications that are meritorious for the position are:
- Experience of administration within university/higher education.
- Knowledge of the laws and agreements that govern the university's operations.
- Experience of working with many contact surfaces and a communicative role.

Other
The employment is permanent with a scope of 50% with immediate start or as agreed. Probationary period may apply. Interviews are planned preliminarily in weeks 26–27.
