We are looking for you who are studying and want to work part-time alongside your studies to ensure a smooth and well-functioning office environment! Our client wishes for you to be on-site approx. 3h/week. Apply today, we are conducting rolling selection!

About the role

As Office and Administration Coordinator, you will be responsible for ensuring the office functions optimally by handling daily tasks and making sure everyone enjoys the environment.

This is a consultancy assignment through us at Academic Work. We are looking for you who have the opportunity to work extra approx. 3h/week in addition to your studies. Our client sees this as a long-term role alongside your studies.

Responsibilities

  • Ongoing office operations: Keeping the office, kitchen, conference rooms, and lounges tidy.
  • Handle inventory, weekly purchases, office supplies, and plan monthly staff events (AW).
  • Manage supplier contacts, including reporting faults and communicating with the cleaning company and property owner.
  • Perform ad-hoc tasks such as organizing storage, ordering document cabinets, and decorating for holidays.

We are looking for you who

  • Are studying administration, HR, or economics or similar and have at least 2 years left of your studies.
  • Have the ability to take total ownership of assigned tasks.
  • Are fluent in spoken and written Swedish as it is used in daily work.

In this recruitment process, we focus heavily on your personal qualities. To succeed in this role, we see that you have:

  • Motivation & Ownership: Extremely self-driven and proactive, taking initiative without being reminded.
  • Service & Flexibility: Service-minded, unpretentious, and flexible regarding varying tasks.
  • Cultural Fit: Open, relaxed, and communicative – fits into a flat organizational culture.

Our recruitment process

This recruitment process is handled by Academic Work, and our client's request is that all questions regarding the role are sent to Academic Work.

We apply rolling selection and will remove the ad when enough candidates have reached the final stage of the recruitment process. A CV is required when applying. We do not use cover letters as a selection method, so one is not needed. As a candidate, you bear the main responsibility for ensuring your application is complete when submitted. The recruitment process includes two selection tests: a personality test and a cognitive ability test. The tests are a tool to find the candidate with the highest potential for the role and to promote equality, diversity, and a fair recruitment process.

For our part-time positions, you as an applicant need another main occupation of at least 50%. Examples of this are studies, another employment, self-employment, parental leave, or similar.
